Central Ohio Primary Care is seeking an Administrative Assistant for our Population Health programs located in Westerville, OH.
The Administrative Assistant is responsible for general clerical and office support functions, as well as day to day operations within the Population Health programs at Central Ohio Primary Care during operating business hours.
The Population Health programs include, but not limited to, respiratory therapy, diabetes education, nutrition counseling, falls prevention and comprehensive care.
This is a full-time position working first shift hours Monday- Friday.
Essential Functions and Responsibilities :
- Provide administrative and technical support through knowledge of operation support needs for the department. Can include but not limited to managing phones and emails, direct support to management staff, clerical functions, and training support for clinical staff.
- Call patients to schedule clinical appointments in a timely manner, direct or escalate inquires when needed. Understand scheduling and administrative differences between each department.
- Ensure patients have a positive experience, whether in-person and / or over the phone.
- Maintain patient records and organize, file, and pull charts when needed for appointment. Responsible for registration, managing fax inbox, uploading documents, inputting data entry of patient information and insurance verification.
- Collect data, create surveys, provides statistical information and regular updates to leadership on programs, projects and assigned audits.
- Mail letters to patients / families
- Ensure confidentiality of patient data and stay up to date with HIPPA regulations
- Complete clerical tasks including but not limited to distributing mail and reports, filing scanning, scheduling, data input, management of electronic fax inbox, and general support to all office personnel.
- Communicate regularly with clinical staff to ensure patients and office needs are met. Collaborate with team to create a positive patient experience
- Assist the Program Managers with scheduling meetings and room set up, as well as organizing documents and filtering excel reports.
- Other administrative duties as assigned.
Qualifications :
- Preferred : 1 year of administrative experience in a healthcare related setting
- Required : High School diploma or GED; or at least six (6) months customer service or healthcare experience
Knowledge, Skills & Abilities
- Excellent interpersonal and verbal communication skills; as well as interpersonal relationship building abilities;
- Strong organizational and written communication skills;
- Ability to multi-task, prioritize, manage time effectively and respond timely to patients and / or visitors;
- Strong knowledge of HIPAA guidelines and understanding of patient privacy and ability to demonstrate a high level of confidentiality;
- Ability to work independently and in a team environment; and able to lead by example;
- Excellent computer skills, knowledge of Microsoft programs, and understanding of Electronic Health Record (EHR systems)
