Job Summary :
The Center Administrator is responsible for overseeing the administrative functions of an ABA therapy center, ensuring that the center operates efficiently, compliance with regulations and delivers high quality services. This role involves managing staff, client relations, billing, scheduling, compliance, and supporting both the clinical and operational teams to ensure optimal client outcomes.
Responsibilities :
Operations Management :
Oversee the daily operations of the center, ensuring that services are provided efficiently and in line with best practices.
Coordinate the scheduling of therapy sessions for clients, staff shifts, and other center activities.
Managing employee schedules and time-off requests
Create and maintain employee retention programs.
Oversee the maintenance of an organized and clean environment.
Work regularly with the intake department.
Compliance and Documentation :
Ensure all operations and client services comply with applicable local, state, and federal regulations (e.g., HIPAA, licensing requirements).
Maintain and monitor client records, including assessment data treatment plans, progress reports and session notes.
Ensure accurate insurance billing and authorization processes for services provided.
Staff Supervision and Support :
Coordinate new hire orientation / onboarding and staff training.
Create and maintain a positive, high-energy work environment for all staff.
Provide employee coaching, supervision, and management.
Create and maintain employee retention programs.
Client Relations :
Welcome all families, provide tours, and explain the benefits of Children / s Specialized.
Serve as the primary point of contact for clients and their families, addressing questions, concerns, and feedback.
Oversee daily schedule, compliance call outs and manage substitutes and group sessions.
Minimize clients sent home due to staffing shortages.
Ensure that all clients receive timely communication regarding their therapy sessions, treatment progress and any changes in scheduling or staffing.
Coordinate multidisciplinary related services (Speech and OT).
Requirements :
Must be at least 18 years of age.
High School diploma or equivalent
Background check clearance upon hire
Previous experience working with children; ASD experience.
Previous experience in an administrative role
Previous experience in an ABA Clinic
Registered behavior technician (RBT) or Board-Certified Behavior Analyst (BCBA) strongly preferred.
Must have leadership experience.
Reliability- ability to work a consistent schedule throughout the week.
Access to a reliable vehicle or public transportation
Physical Requirements :
To complete the physical demands of the job (frequent sitting and standing, sitting on and getting up from the floor, kneeling, bending, and running with children) you must be able to : Stand and move for at least 75% of the day; lift, push, pull up to 40 pounds
