What are the responsibilities and job description for the Administrative Assistant I position at City of Murfreesboro?
- DESCRIPTION
The purpose of this position is to provide administrative and general clerical duties for City Departments.
- EXAMPLES OF ESSENTIAL DUTIES
Essential Functions:
- Must be able to communicate with others in spoken and written English to ensure the safe and efficient operations of the business.
- Tracks and maintains time sheets, mileage sheets, and time off hours for department personnel; submits time and mileage information to human resources and finance; maintains personnel training records and schedules training.
- Receives and processes applications within department; forwards documents; composes correspondence for department leadership as requested.
- Compiles daily, monthly and yearly reports and reports as instructed.
- Processes accounts payable invoices for payment; obtains approval and submits for payment.
- Prepares monthly revenue reports for department including revenue summary, prepaid balance reports, and sales tax reports.
- Logs expenses into budgetary record books and tracks budget balance.
- Provides assistance, guidance and coverage at the front desk or via phone to ensure appropriate customer service.
- Maintains and updates mailing and email distribution lists for department newsletter.
- Uses computer software.
- Performs other work as assigned.
Physical Demands:
- Performs work that involves walking or standing some of the time.
- Involves exerting up to 10 pounds of force on a regular and recurring basis and sustained keyboard operations.
- TYPICAL QUALIFICATIONS
Minimum Education and Experience Requirements:
- Requires High School diploma or GED equivalent, supplemented by specialized courses/training equivalent to completion of one (1) year of college in office administration or closely related field.
- Requires two (2) years of office administration, clerical work, or closely related experience.
