CLASSIFICATION TITLE: CONSTITUENT AIDE
PURPOSE OF CLASSIFICATION
The purpose of this classification is to provide administrative and technical support to a district Commissioner in responding to and assisting constituents. This position serves at the pleasure of the district Commissioner.
ESSENTIAL FUNCTIONS
The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.
Receives and responds to inquiries and concerns through telephone, email, and personal contact on behalf of district Commissioner; exercises discretion and tact accordingly (must present a professional image at all times); escalates to the district Commissioner's attention those items requiring immediate attention.
Meets and greets guests, citizens, and constituents of an assigned district Commissioner.
Takes information and researches questions or concerns to formulate a response from the Commissioner.
Manages, routes, and troubleshoots constituent concerns through appropriate departments. Follows up with constituents and the Commissioner keeping the district Commissioner informed and up-to-date at all times.
Creates and generates complex materials for assigned district Commissioner to include correspondence, documents, proclamations, and reports.
Maintains assigned district Commissioner's calendar and coordinates schedules for meetings, interviews, travel, conferences, and speaking engagements.
Drafts and prepares letters and other correspondence for assigned district Commissioner's signature including information that may be of a confidential or sensitive nature. May be responsible for conducting research in order to obtain information to be included in correspondence.
Reviews all documentation and processes for the district Commissioner to ensure proper grammar, punctuation, and format are used.
Opens, sorts, screens, and prioritizes daily mail, including reviewing to determine further distribution to affected departments and staff, makes copies as needed, and provides such to district Commissioner with notations accordingly.
Performs computer tasks requiring a broad knowledge of a variety of standard computer applications (i.e., Microsoft Word, Word Perfect, etc., computers, telephones, facsimile machines, and photocopiers).
Represents the district Commissioner at events, meetings. presentations, or other functions which will require local travel and evening/weekend work.
ADDITIONAL FUNCTIONS
Performs other related duties as required.
MINIMUM QUALIFICATIONS
Associate’s Degree or the equivalent of two (2) years college coursework in Office Administration, Public Administration, or related field required; Bachelor’s Degree in Public Administration, Business, or related field preferred. Must have five (5) years of progressively responsible office administration experience; must have experience operating office; must have excellent customer service skills; or any equivalent combination of education, and experience which provides the requisite knowledge, skills, and abilities for this job.
ADA COMPLIANCE
Physical Ability: Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or work station.
Sensory Requirements: Some tasks require the ability to perceive and discriminate sounds and visual cues or signals. Some tasks require the ability to communicate orally.
Environmental Factors: Essential functions are regularly performed without exposure to adverse environmental conditions.
