What You’ll Do

As an Administrative & Contracts Coordinator, you will play a key role in contract administration, compliance, and operational support to ensure smooth project execution.

Essential Duties and Responsibilities

Projects & Contracts Administration

  • Complete and manage Global Import Templates for project tracking.
  • Assign and maintain Sage cost codes for project financial tracking.
  • Process Sage change orders, ensuring accurate documentation and approval tracking.
  • Manage T-Sheets administration (cost codes, classes, projects).
  • Draft and format contracts, ensuring consistency and compliance.
  • Coordinate with legal counsel on contract negotiations and reviews.
  • Prepare and distribute Preliminary Lien Notices and Final Lien Waivers as required.

Insurance & Compliance

  • Manage Certificates of Insurance (COIs) for clients and subcontractors.
  • Track and oversee contractually required insurance policy renewals, including project-specific policies.
  • Safety & Compliance Administration

  • Coordinate OSHA-related safety administration and inspections.
  • Oversee GotSafety (or similar) safety management system.
  • Administrative & Executive Support

  • Assist leadership with email dictation and management.
  • Coordinate scheduling and calendar management for key executives.
  • Support proposal creation, contract documentation, and general administrative duties.
  • Skills and Experience

  • Bachelor’s degree preferred (in Business Administration, Legal Studies, Construction Management, or a related field). Equivalent experience may be considered in place of a degree.
  • 2 years of experience in an administrative, contracts, or compliance role, preferably within construction, architecture, legal, or a related industry.
  • Experience working in an office environment with a focus on document management, coordination, and compliance.
  • Strong understanding of contract administration, compliance, and project documentation.
  • Experience with Sage, T-Sheets, and other project management systems (preferred).
  • Ability to liaise with legal teams and external partners on contracts and compliance.
  • Excellent organizational and multitasking skills with a keen eye for detail.
  • Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Basic understanding of legal and compliance principles related to contracts, lien notices, and insurance tracking is preferred.
  • Detail-oriented and capable of reviewing contracts and compliance documents for accuracy.
  • Excellent communication skills for coordinating with legal teams, subcontractors, and internal stakeholders.
