The Education and Labor Cabinet’s Department of Disability Determination Services Programs (DDDSP) assists and determines eligibility for Social Security Administration Disability benefits for the citizens in the Commonwealth of Kentucky.
We are seeking a Staff Assistant to serve as a chief administrative support position for the commissioner of the Department for Disability Determination Services Program in the analysis, formulation and administration of budgeting, policy planning and management policies with regard to programmatic areas assigned to that department.
The Staff Assistant position is a federally funded time limited (FFTL) position. This means it is a position that is paid entirely as the result of a federal grant. The duration of employment shall not exceed the life of the federal grant that funds the position. An employee appointed to an FFTL position is required to meet the minimum requirements for the classification. Further, an employee appointed to an FFTL position is designated as an unclassified (non-merit) employee. An FFTL employee is eligible to receive benefits at the same level as a classified (merit) employee in a permanent position.

Minimum Requirements
EDUCATION: Graduate of a college or university with a bachelor's degree
EXPERIENCE, TRAINING, OR SKILLS: Six years of administrative or management experience.
Substitute EDUCATION for EXPERIENCE: A master's degree will substitute for one year of the required experience.
Substitute EXPERIENCE for EDUCATION: Additional administrative, management, or research experience will substitute for the required education on a year for year basis.

Incumbents working in this job title primarily perform duties in an office setting. Minimal travel may be required.

Responsibilities And Duties Include But Are Not Limited To
- Assist the Commissioner with activities related to department privacy and security requirements which includes physical security, access control, suitability, technical security, and a security plan as outlined in the Social Security Administrations (SSA) Procedures Operating Manual System (POMS). Monitor POMS changes and updates departmental policies and procedures accordingly.
- Evaluate all functions, elements and procedures of Facility Security Operations to ensure compliance with DI 39567. Complete annual Facility Security Plan through Security Automated Features and Enhancements (SAFE) for the Frankfort and Louisville offices. Serve as Business Continuity Program (BCP) Coordinator for Frankfort and Louisville offices. Update continuity plan as necessary.
- Complete comprehensive Integrity Review Process (CIRP) report identifying staff who access social security numbers with similar names. Complete Personal Identifying Information (PII) loss reporting logs.
- Complete SAFE reporting for in/out of shelter drills; key log; Intrusion Detection System (IDS)/Duress alarm testing; access codes; access recertification; security training; small equipment listing, and VPN users. Follows requirements to maintain specific SSA access required to complete these tasks.
- Ensure security guards are informed of all physical security requirements at each facility. Implement protocol for handling package deliveries, visitor logs, perimeter security, alarm systems, etc as outlined in the POMS. Complete annual self-review checklist for re-certification of staff with physical access to sensitive areas.
