Job Description

The Director of Accounting is responsible for the accounting functions of general ledger maintenance, revenue recognition, budget preparation, analysis and variance reporting and works alongside the Chief Financial Officer (CFO) to coordinate and complete all CIS-SA audits. The Director of Accounting is responsible for direct supervision of Accounts Payable and Payroll personnel and function.

Primary Responsibilities & Essential Functions

Revenue, Accounts Receivable, Accounts Payable and Payroll

  • Manage grant contracts, reimbursement requirements, and comprehensive files that support grant billings and other recordkeeping required
  • Manage school district service delivery contracts and billings, to ensure that all partners are invoiced timely according to Service Delivery Agreement (SDA) contract terms
  • Prepare district revenue reports, as requested, to support the President & Chief Executive Officer’s (CEO) negotiations with school district partners
  • Work directly with Development to ensure all invoices for training and other fundraising pledges are prepared in a timely manner
  • Reconcile assets, liabilities, revenues and expense accounts monthly, quarterly and / or annually
  • Maintain fixed asset and depreciation records for the organization, including release of restricted net assets
  • Prepare monthly bank reconciliations for all accounts
  • Oversee the Accounts Payable function ensuring vendors are paid accurately and timely
  • Oversee the Payroll function ensuring staff are paid accurately
  • Oversee the reconciliation of vendor payments monthly to ensure appropriate charges
  • Ensure financial data is entered accurately and in accordance with specific grant or contract requirements and in accordance with Generally Accepted Accounting Principals (GAAP) standards and regulatory requirements

Financial Accounting and Reporting

  • Ensure all general ledger accounts are accurate to support in month, quarter and year end close process
  • Ensure all accounts, ledgers, and reporting systems are in compliance with appropriate GAAP standards and regulatory requirements
  • Maintain the organization’s system of Internal Controls
  • Coordinate reports and staff input toward annual and programmatic audits, not to exclude benefit audits such as 403B, etc
  • Prepare account reconciliations and supporting schedules in preparation for the organization’s annual audit


Budgeting and Account Analysis

  • Prepare and maintain all grant, SDA and subsidiary trackers
  • Coordinate the annual budget process in conjunction with the Chief Financial Officer
  • Responsible for creating and updating site and departmental budget trackers, including distribution to department heads, directors and / or managers.

Supervisory and Leadership Responsibility

  • Provides direction to Accounting staff
  • Provides continuous coaching, professional development, and performance management for staff
  • Plans, assigns and directs work products
  • Responds to and address staff suggestions, questions and/or concerns
  • May be responsible for initiating written and / or verbal communication related to Accounting functionality and support to CIS-SA in collaboration with the CFO and CEO
  • Hire, supervise, coach, train and evaluate job performance of direct report staff
  • Maintain a cooperative working relationship with field staff and all central office department staff

Administration

  • Responsible for entering time and labor into payroll /timekeeping system
  • May be responsible for initiating and responding to written and / or verbal communication regarding grant and school district contracts and billings in collaboration CFO and CEO
  • Support CFO in ensuring strong fiscal support to grant CIS-SA field staff and fellow support department
  • Attend and participate in mandatory trainings, including Staff Development and other professional development.

Supervisory Responsibility
This position supervises the accounting staff in payroll, accounts payable and accounts receivable.


Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work generally are Monday through Friday, 8a.m. to 5p.m. This position on occasion requires long hours and weekend work.


Travel

Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected.

Required Education and Experience

  • Bachelor’s Degree in Business Administration with a concentration in Accounting, Finance or a related field.
  • 5 years of accounting and finance experience
  • Knowledge of applicable Office of Management and Budget (OMB) accounting-related Circulars and generally accepted accounting principles applicable to non-profits
  • Excellent communication skills, verbal and written.
  • Proficiency in the use of computers for fund accounting software and Microsoft office products.
  • Ability to set priorities and work with minimal supervision.

Preferred Experience and Qualifications

  • Masters preferred in Accounting, Finance and/or MBA.
  • CPA or CMA preferred.

Additional Eligibility Qualifications/Requirements

  • 5 years of leadership experience at Senior management level
  • Experience in developing strategic plans
  • Strong analytical skills, communication skills and ability to build relationships
  • A willingness to follow the CIS-SA mission, be adaptable to agency and system change, and coordinate efforts in a collaborative team environment.
  • Maintain confidentiality and professional and ethical behavior in all interactions.
  • Must have reliable transportation
  • Must be able to pass a criminal history background check
