Office Coordinator / Service SchedulerPosition Overview:
We are seeking a highly organized and customer-focused Office Coordinator / Service Scheduler to join our team. This role is responsible for answering inbound calls, scheduling service appointments for technicians, and preparing quotes for customers. The ideal candidate will have strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
- Answer Incoming Calls: Handle customer inquiries, schedule service appointments, and provide basic troubleshooting assistance.
- Schedule and Dispatch Technicians: Coordinate technician schedules efficiently to ensure timely service and minimize downtime.
- Prepare Quotes & Invoices: Assist in creating and sending customer quotes based on service needs and company pricing guidelines.
- Customer Communication: Follow up on pending quotes, confirm appointments, and provide updates on service requests.
- Data Entry & Documentation: Maintain accurate records of customer interactions, service requests, and job details in the system.
- Coordinate with Sales & Service Teams: Work closely with technicians to ensure smooth operations and customer satisfaction.
- General Office Support: Assist with administrative tasks such as email correspondence, filing, and supply management.
Qualifications & Skills:
- Experience: Prior experience in scheduling, dispatching, or administrative roles preferred.
- Communication: Strong verbal and written communication skills.
- Organization & Multitasking: Ability to handle multiple tasks while maintaining accuracy and efficiency.
- Tech-Savvy: Comfortable using scheduling software, CRM systems, and Microsoft Office Suite.
- Customer Service: Friendly, professional demeanor with a focus on customer satisfaction.
