Position Summary

The Executive Assistant, Global Communications (EA, GC) will work as part of the Communications team, providing support to CFR’s Vice President, Global Communications (VP, GC) and assisting with greater departmental administrative tasks and priorities. The EA, GC will serve as a main point of contact for Council counterparts and outside partners to the Communications department, routing inquiries and updates to the appropriate team members. The EA, GC will be required to be fully onsite to assist the VP, GC with significant projects. This position requires an ability to manage multiple tasks simultaneously and prioritize accordingly.

The major responsibilities of this position will include (but are not limited to):

  • Act as a point of contact for the Communications department, handling incoming requests from internal and external stakeholders and directing them to the appropriate people.
  • Provide support to the VP, GC in matters including calendar maintenance, expense reports, invoices, travel schedules, pitch reviews, and document management.
  • Attend meetings with the VP, GC, and, when appropriate, and take notes for follow-up and/or circulation.
  • Assist with on-the-record events and press briefings, including press check in and managing press at events.
  • Draft communications and/or other documents for the VP, GC such as status updates on projects or meeting minutes.
  • Provide a bridge for smooth communication from/to the office of the VP, GC with leaders and staff across the organization; build important internal and external relationships important to facilitate departmental success.
  • Format and send media advisories, news releases, media guides, and other content.
  • Update the media database to ensure that all affiliations, titles, and contact information are accurate.
  • Monitor and report on media coverage.
  • Coordinate media attendance for virtual events or livestreams.
  • Perform any other duties or tasks as assigned or required.

Qualifications

  • 5 years of relevant experience.
  • Bachelor's degree in a related field preferred, but not required.

Related Skills & Other Requirements

  • 5 years of relevant communications or journalism experience.
  • Excellent verbal and written communication skills.
  • Demonstrated attention to detail.
  • Superb interpersonal and customer service skills across all levels of the organization and with external stakeholders.
  • Excellent organization and multitasking skills, with demonstrated proactive ownership and accountability.
  • Proven ability to work in a fast-paced and globally oriented environment, both independently and as part of a team.
  • Advanced knowledge of Outlook and Microsoft Suite.
  • Experience with CRM systems is a plus.
  • Qualified candidates will have related experience that required judgment, strong writing and editing ability, the ability to prioritize, and experience interacting with various stakeholders.

Compensation and Benefits

  • The full-time annual compensation range for this position is $75,000 – $85,000 depending on experience.
