Position Overview

The Administrative Assistant is responsible for providing administrative support and handling various functions to ensure efficient operations.

Job Responsibilities

  • Serve as the point of contact for office duties including office maintenance, supplies, welcoming visitors, etc.
  • Manage the team’s and Branch Manager’s calendar; schedule a variety of business meetings via platforms such as Teams, Zoom, and Outlook.
  • Manage emails, letters, packages, phone calls and other forms of correspondence.
  • Arrange travel and reservations as needed.
  • Create well-organized, grammatically correct emails.
  • Use various software applications such as spreadsheets and relational databases to keep management and teams informed on clients and deals.
  • Perform administrative duties such as conducting research, updating databases/CRM, and tracking tasks for follow-up.
  • Support branches in day-to-day operations, such as opening and tracking support tickets, resolving billing, and following up on outstanding documents.
  • Complete expense reports and reconcile receipts.
  • Assist in reviewing mortgage loan applications and documentation via printing, copying, scanning, emailing, overnighting documents, etc.
  • Collaborate with management to provide support in various stages and areas of lending as needed.
  • Plan and coordinate office projects, such as office moves, events, or technology upgrades.
  • Work on marketing platforms and ad hoc marketing requests.
  • Various personal administration tasks, as needed.

Qualifications And Skills

  • High School Diploma or equivalent.
  • Experience in an administrative support role.
  • Proficiency in Microsoft Office Suite.
  • Previous banking, financial services, or mortgage experience, preferred.
  • Excellent customer service and communication skills.
