Crow Estate Planning & Probate, PLC is a reputable and fast-growing estate planning law firm with offices in Nashville, TN, Clarksville, TN, Springfield, TN, and Hopkinsville, KY. Our mission is to provide our clients with exceptional legal services in the areas of estate planning, probate, conservatorships, and business planning. We currently have 18 employees, including 8 attorneys, and are planning to expand with an office in every major city in Tennessee, Kentucky, Georgia, and Alabama.
We are seeking a full-time Legal Operations Manager to optimize and manage our firm's systems, workflows, and processes. This role is critical to our long-term success, ensuring that our firm operates efficiently and effectively as we expand.
Systems Analysis & Optimization:
- Evaluate and analyze the firm’s existing technology tools, including Pipedrive, Asana, and JotForm, to identify opportunities for improvement.
- Implement and integrate new technologies and processes to streamline workflows and reduce inefficiencies.
- Monitor system performance and resolve any technical or operational issues.
Process Documentation & Workflow Improvement:
- Document standard operating procedures (SOPs) for all critical functions within the firm.
- Develop and maintain a comprehensive process library to ensure clarity and consistency across all offices.
- Identify and eliminate bottlenecks, redundancies, and friction points in workflows.
Training & Implementation:
- Train team members on updated processes and systems to ensure adoption and compliance.
- Serve as a resource for staff and attorneys, providing ongoing support and troubleshooting for technology and workflow questions.
Operational Strategy & Scalability:
- Work closely with leadership to design scalable processes in preparation for the firm's multi-state expansion.
- Ensure systems are user-friendly, functional, and adaptable for multiple office locations and teams.
Collaboration & Communication:
- Partner with attorneys, paralegals, and administrative staff to gather feedback and improve operations.
- Act as a liaison between vendors and the firm to ensure smooth communication and service delivery.
The ideal candidate will:
- Possess 3 years of experience in operations, systems management, or a similar role, preferably in a professional services environment.
- Demonstrate a strong understanding of workflow management tools and CRMs (e.g., Salesforce, Hubspot, Pipedrive, Asana, Monday.com, or similar platforms).
- Be proficient in process documentation and adept at identifying and implementing efficiency improvements.
- Exhibit excellent problem-solving skills and the ability to independently drive projects to completion.
- Show a keen eye for detail and the ability to document and standardize processes clearly and effectively.
- Have a collaborative and approachable demeanor, working well with all levels of staff to build trust and encourage engagement.
- Be tech-savvy and capable of researching, recommending, and implementing new tools and solutions to meet evolving firm needs.
