I. Job Summary: This position reports to the Vice Provost for International, Appalachian and Delta
Outreach as responsible for directing the VCOM’s outreach activities at the Louisiana
Campus. In addition, the assistant Director reports to the Louisiana Campus director for daily activities.
Effective communication is expected along with following policies, procedures, guidelines and in a manner that provides harmonious relationships under direction of the Vice Provost.
Primary responsibilities include assisting the Director at the Louisiana campus with leadership for all matters pertaining to VCOM international activities, and domestic outreach. Specific program responsibilities include leadership and assisting with managing, leading and approving student applications; preparation, implementation, and follow-up of international medical outreach trips; assisting faculty lead research from Louisiana; effective communication and publication of project activities; outcomes management and related project development compatible with the successful candidate’s skills and interests. Assistance and support of Appalachian and Delta outreach is expected in collaboration with clinical underserved care.
The assistant director position may include leadership that cuts across all VCOM campuses in a specific area of the successful candidate’s skills to provide consistency, efficiency, and minimize redundancy. The primary activity for across campus leadership include program responsibilities of the Director along with their individual responsibilities. Collaboration with the international office team across campuses is under the direction of the Vice Provost for International, Appalachian and Delta Outreach Programs. Other duties as assigned may be included based on evolving program needs.
II. Job Duties:
1. Assist with Student International Rotation
Assist the Director in any campus activities related to international rotations and related hospital residency rotations. Be familiar with students on rotation to support them as needed along with all the related organizational responsibilities for program success.
2. International medical outreach trips VCOM Louisiana Campus –
Assist the director in duties for international medical outreach trips for the VCOM Louisiana Campus: Responsible for:
a. Trip sign up and registration
b. Organizing Introduction to International Trip and Orientation
meetings, and all educational materials and sign-up documents (trip
descriptions, waivers, etc.) for students
c. Collection of student fees and applications
d. Trip registrations for the Louisiana Campus
e. Participation in all Louisiana trips and trip planning
f. Clearing of all students for trips through meeting with the Assoc. Dean
Pre-clinical years, The Assoc. Dean Student Services, and CIFSS
Directors (academic and counseling) when providing approvals.
Other specific activities include but are not limited to orientation to trips, coordinate with in-country staff including trip preparations and transportation to and from the
airport, trip housing/rooms, and other trip logistics. Coordination of all post-trip
information including trip summaries, financial reports, and data-entry.
3. Assist with Teaching and Education responsibilities with the Director:
Assume leadership for a variety of programs in collaboration with the Director.
a. VCOM’s Medical Spanish – Coordinate this course with the Virginia
Spanish Club leaders and arrange the workshops on medical Spanish
throughout the year and participation sign-ups prior to outreach trips.
b. Supervision of Interns in International Office – when students are
available for internships, assist in recruiting and selecting Virginia Tech and
other university undergraduates for a semester internship in the International
Office and supervise their activities.
c. College Service – based on qualifications of successful candidate, participate
in committees, campus events (such as open house, accepted students’ day,
graduation, and orientation) Represent the International Outreach
department at Open House activity and others.
d. Global Seminar – assist the Vice Provost with coordinating the Global
Seminar for Health and Environment to be provided via ZOOM with
VCOM campuses and medical schools in partnering countries. Activities
include working with participating institutions; manage course materials,
video conferencing and other activities associated with the 12-to-14-week
elective Global Health Course on the on-line International Infectious Disease
Course.
e. Other Duties as assigned – assist with workshops, staff retreats and other
activities of the Division or of an educational nature.
4. Assist Departments at VCOM Louisiana Campus with Delta Outreach
Assist underserved care department in preparing equipment, supplies for outreach, and as time permits participation on trips that do not overlap international trips nor preparation for them.
5. Assist faculty with student research in outreach.
Support faculty mentors and students with research that lead to national and international conference presentations, posters, article, and professional papers.
6. Support communications and publicity activities.
Support VCOM Marketing/Development and Alumni Relations to shape departmental PR and fundraising communications including producing publications, press releases, event summaries, thank you notes, communications to alumni, and other items as necessary.
7. Perform other duties as assigned.
III. Required Qualifications:
Education: Bachelor’s Degree with a willingness to participate in an on-line Master’s
Degree program offered through a VCOM chosen institution that will be equivalent for
VCOM experience
Licensure or certification: None
Experience with coordinating international activities
