Responsibilities:
1. Front Desk Management:
- Greet patients and their families with a warm and friendly demeanor.
- Answer phone calls, return phone calls, schedule appointments, and manage appointment reminders.
- Professionally communicate via digital means such as email and text messaging to patient’s, potential patient’s, dental offices and vendors.
- Maintain a tidy and organized reception area and waiting room as well as maintain the cleanliness and appearance of the patient restroom.
- Check patients in and out, ensuring all necessary paperwork is completed accurately.
- Collect co-pays, co-insurance, deductibles, and balances.
- Other duties as assigned.
2. Patient Coordination:
- Protect patient privacy.
- Assist parents with completing new patient forms and insurance paperwork.
- Verify insurance coverage prior to patient appointment.
- Coordinate referrals to specialists and follow up on patient inquiries.
3. Child-Centric Care:
- Interact with children in a friendly and compassionate manner, helping to ease any anxiety or fear they may have about visiting the dentist.
- Create a playful and welcoming environment in the waiting area to ensure children feel comfortable and at ease.
- Assist in guiding children to treatment rooms and providing any necessary support to the dental team during procedures.
4. Administrative Support:
- Maintain electronic and paper patient records accurately and securely adhering to all HIPAA policies and laws.
- Assist with managing inventory and ordering office supplies as needed.
- Collaborate with the dental team to ensure smooth workflow and efficient patient care.
- Adhere to all Infection Control protocols, procedures, and standards.
- Office marketing and social media marketing including social media posts.
- Support clinical staff as necessary.
Requirements:
- High school diploma or equivalent; additional education or certification in dental office administration is a plus.
- Previous experience in a dental or medical office setting preferred.
- Professional work appearance at all times.
- Exceptional interpersonal skills and the ability to communicate effectively with both children and adults.
- Strong organizational skills with a keen attention to detail.
- Warm, clear, and professional voice, with a welcoming tone that puts patients at ease.
- Proficiency in computer skills, including experience with dental practice management software (preferably Dentrix).
- Ability to work in a fast-paced environment while maintaining professionalism and a positive attitude.
- Excellent problem-solving skills and logical reasoning.
- Ability to work with interruptions while multitasking and prioritizing tasks.
- Proficiency in speaking, comprehending, and writing English fluently.
- Must be dependable, punctual, and able to work well both independently and as part of a team.
