This is a part-time, temporary position under the general supervision of the assigned County Commissioner. The Executive Assistant to the Commissioner is responsible for providing exceptional customer service in a variety of support and coordination duties including liaising between commissioner and constituents, research, and administrative support as described below. ESSENTIAL DUTIES. Provides high-level administrative support to assigned Commissioner to include handling incoming calls, writing and editing emails, drafting memos, updating calendar, scheduling meetings, and preparing correspondence on the Commissioner’s behalf. Acts as a liaison and assist the Commissioner in responding to the needs of constituents. Receives, researches, and responds to incoming questions or complaints; provides information, explains county policy, ordinances, and procedures, and/or facilitates a resolution. May include communicating, responding to, and resolving difficult and sensitive public inquiries or complaints in verbal and/or written form. Represents Commissioner at public functions, business functions, and meetings to obtain information and promote goodwill with constituents and the community at large. Prepares notes and summaries of meetings as requested. May require attendance on evenings and/or weekends. Anticipates and prepares material needed by the Commissioner for correspondence, appointments, meetings, and conferences.Conducts special studies and projects at the request and direction of the Commissioner. Composes reports based on research findings or actions. May examine or analyze reports, responses, legislation, or other materials to recommend action or assess if additional information needed.Assists with the coordination and implementation of various governmental and cultural projects; provides assistance and support to the Commissioner in the successful completion of these events.Assists in researching and drafting policy related to the priorities as directed by the Commissioner.Drafts resolutions and proclamations.Stays current on pending and upcoming legislative issues as necessary. Plans and prioritize assignments and projects. Manage information flow in a timely and accurate manner. ADDITIONAL DUTIES. Performs other related duties as assigned. QUALIFICATIONS.A. Education. High School Diploma or GED. B. Experience. Three (3) years’ related experience. Bilingual (English/Spanish) preferred. C. Education/Experience substitution. In accordance with County policy. D. Licenses/Certifications. Valid driver’s license and maintain satisfactory driving record in accordance with County policy. E. Other (e.g., post-offer medical exam, polygraph, background check, driver’s license record, etc.). Must pass background check and driver’s license check. KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED BY THE POSITION: Knowledge of: Public outreach and public relations, general office practices, policies and procedures; customer service principles and practices; business English, spelling, grammar, punctuation and basic arithmetic. Must have skills in: computer operation including word processing, spreadsheet and database programs; administrative techniques and organizational skills; exercising independent judgment; written and verbal communication; handling sensitive and confidential matters and situations; and working with a culturally diverse population. Must have the ability to: commit self to providing excellent customer service and demonstrate commitment and trust through cooperative team and individual efforts; maintain confidentiality; communicate effectively; create and maintain appropriate working relationships with all levels of County directors, managers, and employees; maintain a professional caliber of attire and decorum according to policy at all times; move between work-related sites reliably and consistently within the County.
