Description
The Dougherty County Probate Court is hiring for an Administrative Supervisor. The purpose of this position is to supervise the daily administrative operations of the assigned department.
This class works independently, under limited supervision, reporting major activities through periodic meetings.
Essential Tasks
- Supervises, directs, and evaluates assigned staff, processing employee concerns and problems, directing work, counseling, disciplining, and completing employee performance appraisals.
- Coordinates, assigns and reviews work and establishes work schedules; maintains standards; monitors status of work in progress; inspects completed work assignments; answers questions; gives advice and direction as needed.
- Plans, organizes, and implements programs within major organizational policies; reports progress of major activities to executive level administrators through reports and conferences.
- Assists with all correspondences to include preparing reports, memos, letters, and outgoing documents.
- Maintains employee leave records and prepare departmental payroll.
- Process accounts payable prepares monthly, quarterly and annual reports as requested.
- Assists in preparing department’s annual budget, monitors budget expenditures and processes accounts payable; maintains petty cash fund; prepares related reports.
- Coordinate the selection, orientation and evaluation of assigned personnel.
- Performs routine to complex administrative support work, which may include scheduling meetings and appointments and maintaining calendars, making travel arrangements, establishing and maintaining confidential and miscellaneous files.
- Maintains departmental office supply budget; prepares, reviews, and processes purchasing documents; prepares purchase orders, as necessary, for needed supplies and equipment; reviews invoices for accuracy and forwards for payment.
- Assists with implementation of office policies and procedures according to County guidelines.
- Prepares varied and complex departmental documents, records, reports, and forms.
- Gathers, handles, and preserves all evidence in caseloads and maintain an intact chain of custody for the evidence including collecting, preserving, retrieving, transporting, and disposal of evidence.
- Assists in recruiting and hiring for the agency, to include coordinating/conducting career fairs and interviews.
- Performs related work as assigned.
Minimum Qualification
- High School Diploma of GED equivalent.
- Six (6) years of administrative support experience or an equivalent combination of education, training and experience.

- Performs sedentary work that involves walking or standing some of the time and involves exerting up to 10 pounds of force on a regular and recurring basis or sustained keyboard operations.

- May require CJIS, NCIC/GCIC network operator certificate.
