Overview

The Sr. Administrative Assistant will provide administrative and scheduling support for our senior leadership, including some personal assistant work, and assisting the Executive Administrative Support team. The core purpose of the Sr. Administrative Assistant position is to facilitate smooth operations for the Company and senior leadership function. This position will interact with a diverse group of internal and external contacts on behalf of the most senior members of the organization. Sound, professional judgment, etiquette, grace under pressure, and strong prioritization skills are required in order to support and organize a diversified workload. The core responsibility is to ensure that the highest level of support and related services are consistently provided.

Responsibilities

  • Manage professional communication and corporate correspondence by answering calls, taking or forwarding messages to the appropriate party, and typing correspondence
  • Schedule and organize activities, such as meetings, conference calls, travel, and related logistics
  • Prioritize, organize, prepare, and distribute internal/external documents including memoranda, letters, reports, presentations, confidential financials, general correspondence, etc.
  • Efficiently manage busy meeting calendar (personal and business)
  • Plan and coordinate team meetings including circulation of meeting materials
  • Respond to regularly occurring requests for information, as appropriate
  • Perform family business and/or personal tasks on behalf of a senior leader while maintaining the utmost discretion and the highest level of confidentiality
  • Perform other related duties as assigned
  • Serve as a resource, advocate, and catalyst for sustainability at The Durst Organization. Apply the skills unique to your core job responsibilities for practical integration of sustainability into processes, standard operating procedures, and adopted business practices. Seek to empower our colleagues, consultants, tenants and residents to prioritize and actively engage in environmental stewardship.

Qualifications

  • Minimum of 5 years of experience supporting Senior Level Executives
  • Ability to prioritize tasks, meet deadlines, and manage a workflow in flux
  • High-level ability to organize complex schedules in a high-pressure environment
  • Advanced proficiency in Microsoft Office applications such as Word, Excel, Outlook, and PowerPoint
  • Ability to interact effectively with diverse groups
  • Effective team communication skills to work both independently and in team settings, as needed
  • Have a high-level of attention to detail
  • Ability to multitask
  • Effective oral and written communication skills, to easily convey purpose and confidentiality
  • Professional and calm demeanor
  • Strong time management skills to handle multiple concurrent assignments, with a high degree of accuracy and meet deadlines with limited direction and guidance
  • Personal Assistant experience a plus

Salary Range: $65,000 - $85,000
