Job Summary

The Lawrence J. Ellison Institute is seeking a talented and passionate Executive Assistant to join its team. As Executive Assistant to the Founding Director & CEO, you will have an expansive impact across the organization with a front-row seat to the inner-workings of this mission-driven organization. This is a role that requires engagement at a high business level, thoughtfulness, confidentiality, a supreme bias towards action, and a passion for helping others.

The ideal Executive Assistant will possess many different skills and characteristics but crucial ones for this role are proactivity, integrity, ingenuity, compassion, time management, and the willingness to go the extra mile.

The Executive Assistant is responsible for performing the following job duties:

Job Accountabilities

  • Support the CEO, including heavy calendar management and prioritization, travel, expense reports, media filming, and any other tasks needed to maximize team productivity.
  • Serve as the representative of the CEO’s office with a team-based attitude and the utmost in courtesy and professionalism.
  • Proactive management of internal and external stakeholders' requests for time is key. Make recommendations for your executive regarding their time management, prioritization, delegation and organization.
  • Represent the CEO by email and phone with internal and external stakeholders including investors, BOD members, clients, prospects and C-level executives, and other partners.
  • Partner with admin team, to plan leadership team off-sites, team-building events, and quarterly BOD meetings.
  • Manage gift sourcing and giving for friends and colleagues.
  • Represent cross-functional internal relationships, representing the office of the CEO, including partnering closely with other executive leaders.
  • Partner with EA team across the organization to ensure seamless communication and coordination of key meetings.
  • Act as the lead scheduler for internal meeting requests with CEO.
  • Greet guests, and occasionally offer Institute tours.
  • Coordinate daily lunch order.
  • Act as a ‘culture carrier’ within the organization and continuously help cultivate and evolve the culture.

ADDITIONAL INFORMATION

  • Full-time on-site position, Monday-Friday.
  • Service-oriented and enjoys providing white-glove service.
  • Experience with high-visibility clients and can maintain the utmost in confidentiality.
  • High-growth mindset with a focus on performance.
  • Quick learner, agile, self-driven, have an action-oriented attitude and accountable.
  • Direct communicator and driver of completing tasks.
  • Stellar verbal and written communication skills.
  • Organized and detail-oriented with a passion for creating order out of chaos.
  • Ability to work in a face-paced environment,
  • Comfortable in a medical setting and can interact with patients compassionately.
  • Must be fully vaccinated (post 2 weeks from second vaccination, booster required post 6 months from 2nd vaccination) and value science-based information.

Preferred Education: B.S./B.A.

Preferred Experience: 7 years

Preferred Field of Expertise: Direct Executive Assistant experience to a C-level Executive in a fast-paced, growing environment.

Salary: $125,000-$190,000, DOE
