JOB SUMMARY

The Ena Lease Manager works under the Ena Holding, LLC President to manage the leasing process of Ena’s commercial properties.

This job is an in-office job that requires business travel approximately once per calendar quarter.

ESSENTIAL FUNCTIONS

  • Draft leases, lease amendments, assignments, guarantees, and licensing agreements in Word for next-level review.
  • Research proposed tenant’s or assignee’s legal name and state of incorporation.
  • Draft backup support in Excel including Base Rent Chart, Option to Extend chart (if applicable), tenant’s percentage, calculation of lease net present value (including impact of commissions, abated rent, and tenant improvements)
  • Review LOIs for completeness and accuracy; propose edits to LOIs as necessary. Whenever transactions are presented without an LOI, prepare an LOI-equivalent for broker review and approval before the onset of lease drafting.
  • Ensure all leases, lease amendments, guarantees, and licensing agreements are properly executed including any required notaries. Distribute and retain once properly executed. Manage the retention of all electronic and hard copy leases, lease amendments and licensing agreements including naming convention adherence.
  • Handle lease, lease amendment, guarantee, and licensing agreement database setup and input including initial lease setup, assignments, tenant name changes, rent payments, and security deposits.
  • Monitor and track lease-related documents such as COIs, SNDAs and estoppels.
  • Prepare lease abstracts and aging reports.
  • Perform analysis and assist with property acquisitions and sales.
  • Review rent rolls for accuracy, and to ensure that rent rolls for new tenants still within their abated rent periods disclose (as a footer) when the abated rent period will end, etc. Ensure that if a property has been remeasured, rent rolls show both the rsf being used and the remeasured rsf.
  • Prepare lease runoff reports showing future Base Rent payment streams from the existing rent roll.
  • Track lists of new leases generated for reporting purposes, track trends in vacancy by property.
  • May include coordinating with vendors, handling tenant inquiries, and performing other support tasks as needed.
  • Performing annual tenant operating expense calculations (CAMs) and assist in annual operating expense budgets.
  • Prepare other written reports, Excel reports and PowerPoint presentations.

SUPERVISORY RESPONSIBILITIES

This job may supervise the work product of staff accountants and administrative staff but does not directly supervise personnel.

KNOWLEDGE, SKILLS, & ABILITIES

  • Basic knowledge of accounting principles, practices, and the analysis and reporting of financial data.
  • Knowledge of and experience with commercial real estate leases.
  • Strong knowledge of lease administration practices and procedures, as well as relevant legal and regulatory requirements.
  • Knowledge of Lease Management database software, such as MRI, Lease Query, etc.
  • Proficiency in standard Microsoft packages, application programs, and e-mail.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to professionally and effectively communicate with employees, business partners, and tenants in writing and verbally.
  • Ability to add, subtract, multiply, and divide using whole numbers, common fractions, and decimals.
  • Ability to compute rents, ratios, and percentages and to draw and interpret bar graphs and spreadsheets.
  • Ability to visualize, articulate, and solve complex problems and concepts, and make decisions based on available information.
  • Ability to use judgment and discretion.
  • Ability to prioritize, meet deadlines, and work productively under pressure.
  • Ability to work with concentration, accuracy, and the highest attention to detail.
  • Ability to be detail orientated, organized, and responsive to customers, property managers, tenants, vendors, and co-workers.
  • Ability to work in a Native Corporation multi-business environment.

MINIMUM QUALIFICATIONS:

  • Bachelor’s degree in real estate, business administration, finance, or related field, relevant certification such as CCIM or CPM, or equivalent work experience.
  • 2 years commercial real estate, lease, and/or property management experience or the equivalent.
  • MRI experience preferred.
  • Ability to pass a drug, background, reference, and credit screening.
