Enviva is seeking an Office Coordinator for the Raleigh office. This position will support the Raleigh office associates and will report to the Corporate Facilities Manager.
Responsibilities
- Be hospitable and customer service oriented with both associates and external visitors.
- Answer phone calls and take messages, forwarding as appropriate.
- Respond to shared inbox email requests and inquiries in a timely manner.
- Maintain inventory of office and kitchen supplies, reordering / restocking as appropriate.
- Tidy and reset the general office area, kitchen, and conference rooms daily.
- Liaise with building management and external vendors for office repairs, cleaning services, tenant emergency notifications, etc.
- Manage and issue access cards.
- Complete business card requests.
- Retrieve mail, FedEx, and UPS packages and distribute to staff.
- Create FedEx labels for associates and assist with shipping out packages as needed.
- Assist with internal / external meeting preparations including booking conference rooms, setting up audio-visual, and ordering catering.
- Manage relationships with vendors, service providers, and landlord, ensuring all invoices are received, reviewed, and processed in a timely manner.
- Maintain historical reference for the office by updating facilities manual with pertinent information.
- Oversee the fire and safety program.
- Other duties as assigned.
