Wage Range: $24.18 - $37.04 per hour lead premium

Hybrid remote in Washington State only

Job Summary:

Responsible for supporting EvergreenHealth Diagnostic Imaging by providing the best practice scheduling for patients and providers. Partners with the Manager to provide oversight of department operations of DI Scheduling. Works in partnership with EH Diagnostic Imaging, Evergreen Radia, EH Kirkland, EH Monroe, EH Clinics and Information Technology. Lead accountabilities, as described below, are performed in one of three locations: Call Center, Radiology or Breast Health.

Primary Duties:

  • Schedules diagnostic exams for nine (9) different modalities, at three (3) different locations, working in multiple computer systems/programs.
  • Manages the schedules for multiple modalities.
  • Schedules in accordance with exam requirements, staffing of the units, equipment and insurance necessities.
  • Schedules procedures via phone, answering inbound calls or initiating outbound calls.
  • Submits request for interpreter services, to correspond with scheduled exams.
  • Reviews orders that are received from multiple sources, CPOE (computerized physician order entry), faxed/written, online request, and verbal phone request from clinics, in order to verify the exam requested matches the orders and includes all required information.
  • Answers department telephones promptly to organization standards, creating a positive telephone encounter.
  • Verifies, collects and updates demographic and financial information using the appropriate method and standards.
  • Identifies and communicates change in exam protocol, insurance requirements, and guidelines to leaders.
  • Provide information of general and specific nature to patients and visitors, including exam protocol, directions, facilities, services, exam cost and parking.
  • Performs other duties as assigned.

Lead Accountabilities: The lead accountabilities are performed in one of three locations: Call Center, Radiology or Breast Health. Individual Leads will provide coverage for designated location(s) as assigned.

  • Orients and trains all new DI Schedulers in the multiple systems used (scheduling, registration, radiology, insurance, etc.).
  • Develops and modifies new hire training protocols and schedules. May focus on overall training, or training in RIS, MRI or Breast Health as needed.
  • Monitors new hire progress and elevates concerns to Manager.
  • Inspects work for Quality Assurance including call recording analysis and follows up with staff members.
  • Oversees daily operations flow for designated location or assignment, including: Leads staff and day-to-day departmental operations, monitors workflows and productivity of the DI Scheduling team. Functions as initial point of contact for all the front-line staff regarding daily operational questions and elevated to Manager as needed. Coordinates and advances the work of the team.
  • Assists manager in the maintenance of the daily and monthly department stats.
  • Assists manager in the invoicing for DI Scheduling partners, processes, tracks and maintains the DI information page.
  • Tags all documents received through right fax within RIS (Radiology Information System). Reviews written orders to ensure they meet required scheduling criteria.
  • Works in partnership with the Radiologist, providers and clinics to ensure the correct order is received prior to the patient scheduling.
  • In partnership with EH Monroe DI Management reviews orders received from Monroe and processes through the Radiology application.
  • Partners with the DI techs from all modalities for all scheduling needs. Uses knowledge of the scheduling job functions to provide scheduling support.
  • Follows protocol when reviewing CPOE orders to ensure they meet all requirements to process and help direct scheduling to correct location/scanner.
  • Functions as designated user with access to the MagView system. Runs patent list and coordinates with providers to ensure future diagnostic mammogram orders are placed and ready when patients call in to schedule.
  • In partnership with DI Management, IT, and Radia maintains the Cerner scheduling templates.
  • Works with management in seeking out ways in which the DI scheduling services can improve its efficiency and reliability in a safe, cost-effective manner. Continually applies process improvement to refine the scheduling workflow, reducing errors and increasing scheduler’s quality/productivity.
  • May attend and participate in meetings with management.
  • Assists the manager as requested.

License, Certification, Education or Experience:

REQUIRED for the position:

  • High school graduate or equivalent
  • 2 years of experience in hospital admissions/Radiology scheduling
  • Previous leadership experience
  • Experience or educational courses in data entry, computer literacy, general office procedures
  • Excellent communication skills with a high degree of tact to deal effectively with patients, physicians and EvergreenHealth staff members
  • Ability to work effectively with people from diverse cultures and diverse socioeconomic situations
  • Ability to type 50 WPM with a high degree of accuracy
  • Ability to handle multiple tasks at one time, speaking with patient/provider, computer entry, and phone systems
  • Understanding of Radiology and Medical terminology
  • College or vocational training in medical terminology
