Position Overview:
Wildcat is seeking a Full Time Administrative Assistant to provide support to the Senior Director and the Operations Specialist including assisting with payroll, billing, moving paperwork through processes, ordering supplies, answering phone calls and emails, handling shipping and mailing, and ensuring internal sites are covered.
Primary Responsibilities:
Provide general administrative support to the Senior Director and the Manager of Operations including conducting research, compiling data, creating reports and presentation materials, monitoring and updating information, data entry, filing, scanning, creating forms, maintaining various records, etc.
Specific responsibilities will include:
- Enter payroll, take attendance, and ensure proper collection and timely submission of all payroll and billing information.
- Review, adjust, and submit monthly billing statements, ensuring accuracy and completeness.
- Compile all information required to support the preparation and submission of monthly invoices for each contract.
- Prepare/review reports to help manage unbilled charges.
- Follow up on unanswered requests promptly. Forward response to Director and Manager for review.
- Coordinate and maintain a spreadsheet of all metrics for field operations, attendance, and reporting requirements.
- Coordinate with the Business Solutions Manager/Director of Production on matters relating to supplies, client worker payroll, and vendors.
- Recommend and implement procedures to improve the flow of information between satellite customer contract sites and Fedcap offices.
- Maintain and track department expenses to enable Director to match against monthly budget variance reports provided by the Accounting Department and to assist with the next year’s budget process.
- Reserve meeting rooms as required.
- Assist employees with their bi-weekly pay questions.
Requirements
- College degree (preferred) or equivalent experience
- Minimum of five years of experience as an administrative assistant in a fast-paced office environment.
- Excellent computer skills and experience with Microsoft Office.
- Ability to maintain confidentiality
- Excellent communication skills.
- Ability to develop and update operations documents and reports.
- Good customer service skills.
- Detail-oriented.
- Excellent interpersonal skills with individuals on all levels.
Compensation
· $21-$23 per hour
