This position plays a critical role in ensuring the smooth operation of our office by managing the accounting staff, performing a variety of accounting and administrative duties, and assisting our Controller with financial, human resources, and payroll tasks. We are seeking an experienced and detail-oriented Office Manager to join our team. This position plays a critical role in ensuring the smooth operation of our office by managing the accounting staff, performing a variety of accounting and administrative duties, and assisting our Controller with financial, human resources, and payroll tasks. The ideal candidate will have a strong background in office management, AR/AP, accounting, HR, and administrative support, along with excellent organizational and communication skills.
Key Responsibilities:
- Manage Accounting Staff:
- Supervise and provide guidance to the accounting team.
- Ensure timely and accurate completion of accounting tasks.
- Conduct performance reviews and support staff development.
- Accounting Duties:
- Assist the Controller with financial reporting, budgeting, and auditing processes.
- Perform accounts payable and receivable functions.
- Reconcile bank statements and maintain accurate financial records.
- Prepare financial reports and summaries as required.
- Allocate costs based on divisions.
- Handle payroll processing and related tasks.
- Review and prepare month-end financials.
- Close out GL accounting periods.
- Administrative Duties:
- Oversee daily office operations, ensuring a well-organized and efficient work environment.
- Manage office supplies, vendor relationships, and maintenance requests.
- Coordinate meetings, appointments, and company events.
- Maintain and organize company files and records.
- Monitor travel and expenses
- Assist Controller:
- Perform HR and payroll tasks
- Support the Controller with various accounting functions and special projects.
- Assist in the preparation of financial statements and reports.
- Provide administrative support as needed.
- Bachelor’s degree in Accounting, Business Administration, or a related field preferred.
- Minimum of 5 years of experience in office management, with a strong emphasis on accounting.
- Proficiency in accounting software (e.g., QuickBooks) and Microsoft Office Suite.
- Excellent organizational, time-management, and communication skills.
- Ability to manage multiple tasks and prioritize effectively.
- Strong attention to detail and problem-solving abilities.
- Experience in the fire protection or related service industries is a plus.
