Summary: The Order Management Associate is a member of the Order Management Team and is primarily responsible for answering incoming phone calls and distributing them to the appropriate department.
Primary Job Duities:
Answer incoming calls; greet callers, provide information, transfer calls, or take messages as necessary
Greet visitors entering Instrumart, determine nature and purpose of visit, notify appropriate Instrumart contact
Review and distribute all incoming Sales emails
Order tracking/shipment status updates
Essential KSA's (Knowledge, Skills, Abilities):
Ability and comfort working with computer applications- ample amount of time spent working in NetSuite
Capacity to work with Instrumart’s telecommunications system, DialPad
Excellent attention to detail
Fast and accurate typing skills
Capability to work in a fast-paced environment
Ability to communicate in a clear and helpful manner when corresponding with customers
Skilled time manager with a strong drive toward productivity
Active listener- giving full attention to what callers are saying, taking the time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times
High levels of dependability
Excellent communication and collaboration skills to ensure smooth and clear interactions across all departments at Instrumart
Familiarity with NetSuite or similar business management software
Experience using a cloud-based telephone system
Experience with sharing a workload while working as part of a team
Experience working in an open office environment
Location: This position is located in South Burlington, Vermont, with the option to work from home 40% of the time following the completion of training
Work Atmosphere: The Order Management Associate works in a typical office environment, with a clean setting and climate-controlled temperature. The office has significant exposure to natural light. Substantial time spent at a desk, sitting, and doing repetitive motions through computer work.
