Job Title: Office Services Associate
Location: Overland Park, KS
Pay Rate: $28/hr
Schedule: 8am - 5pm; Monday - Thursday 32/hr a week.
Job Summary: The Office Services Associate will support daily operations to ensure the efficient functioning of the office environment. This role involves coordinating with internal and external stakeholders, maintaining office supplies, handling logistics, supporting administrative tasks, and delivering exceptional reception and pantry services. The ideal candidate is highly organized, proactive, and dedicated to creating a polished and professional office experience.
Key Responsibilities:
Office Coordination
Serve as a liaison with the facilities teams for office operations.
Conduct regular inventory of office supplies and snacks, coordinating orders with the facilities manager.
Handle all mail services, including USPS, FedEx, and other overnight deliveries.
Ensure printers and other office equipment are stocked and functional.
Prepare new employee desks with supplies, nameplates, and badges.
Oversee vendor setup and relationships (e.g., shredding services).
Maintain cleanliness and organization of the kitchen and café areas.
Assist with administrative support and special projects as needed.
Administrative Support
Perform general administrative tasks to support office operations.
Collaborate with vendors and building management to address maintenance requests.
Submit expense reports and process invoices accurately and promptly.
Update and maintain the Site Operations Manual/Playbook to ensure accurate documentation.
Coordinate travel itineraries, including booking flights and hotels.
Undertake additional projects as assigned by regional leadership.
Reception Services
Greet visitors and answer phone calls professionally and efficiently, adhering to standardized scripting.
Provide recommendations and assistance with conference room bookings and configurations.
Facilitate special meeting needs, such as catering, audio-visual setup, and furniture arrangements.
Conduct hourly sweeps of conference rooms and meeting areas to maintain cleanliness and restock supplies.
Support executive and departmental projects, including filing and time entry.
Mail and Logistics
Receive, sort, and distribute incoming mail and packages, logging and tracking deliveries for end-users.
Assist with outbound mail and package preparation, including rate shopping and carrier coordination.
Monitor shipments to resolve delays and manage messenger services with third-party providers.
Manage supplies inventory to prevent over-ordering and unnecessary costs.
Refill printer and copier paper trays as needed, providing first-level troubleshooting.
Pantry Services
Maintain White Glove standards for pantry areas, ensuring cleanliness, organization, and proper stock rotation.
Stock shelves and refrigerators, make coffee, and manage dishwashing duties.
Unload, distribute, and organize daily food deliveries in pantry areas.
Implement just-in-time ordering processes to minimize waste and overstocking.
Track inventory levels and monitor supply orders.
Qualifications:
High school diploma or equivalent; additional education or certifications in office management or hospitality are a plus.
Proven experience in office coordination, administrative support, or a similar role.
Excellent communication and interpersonal skills.
Strong organizational abilities and attention to detail.
Proficiency in Microsoft Office Suite and familiarity with office equipment.
Ability to handle multiple tasks and prioritize effectively in a dynamic environment.
