QUALIFICATIONS: - High School Diploma or equivalent - Associates Degree preferred - Previous secretarial/administrative experience - Demonstrated knowledge of Microsoft Office: Excel, Access, Gmail, Google, Aspen - Ability to maintain confidentiality - Ability to effectively and professionally interact with children, parents, staff GENERAL RESPONSIBILITIES: To provide secretarial support and assure the smooth and efficient operation of the school office and special education department as directed by Assistant Principal and Special Education Department Head/Team Chair. Managing the responsibilities of both roles is fluid throughout the day, requiring shifting between tasks and the ability to pivot as priorities change. HOUSE OFFICE PERFORMANCE RESPONSIBILITIES: - Performs usual office routines - Receives, responds, and routes all incoming calls/messages - Resolves inquiries to best of ability before referring to Assistant Principal - Maintains student database; enters and retrieves information from student tracking system - Initiates and maintains student discipline records/files - Makes necessary meeting arrangements - Contacts parents/guardians verifying absences and dismissals - Records tardy students and assigns detention as appropriate - Types discipline reports, suspensions, warnings, evaluations and various correspondence- Issues passes to students--Maintains student locker list, teacher key list, and parking permits - Reports and tracks damages to school property - Orders and maintains supplies as needed and directed - Sorts and collates mail, copies, files correspondence, invoices, records, etc. -Schedules appointments for Assistant Principal - Assists other secretaries in High School as assigned - Other related duties as assigned by Principal or Assistant Principals SPECIAL EDUCATION PERFORMANCE RESPONSIBILITIES: - Maintains database of all special needs students at the high school, adding and deleting information in a timely manner - Maintain all special needs student record files, including requesting and forwarding records of students entering or leaving FHS - Maintains a database to ensure compliance with mandated timelines with regard to student IEPs, Annual Reviews, Evaluations and IEP Progress Reports - Forwards IEPS, Evaluation Reports and IEP Progress Reports to parents in a manner consistent with mandated timelines - Assists the Special Education Coordinator with the scheduling of TEAM Meetings and other appointments as requested - Answer incoming calls, record messages and forward as appropriate - File all information related to special needs student records - Receive, sort and open mail - Prepare all correspondence as requested - Other related duties as requested by Special Education Coordinator and Special Education Director TERMS OF EMPLOYMENT: Ten months per year.
