PURPOSE OF THE POSITION:
The Parts Manager is responsible for running a profitable and efficient parts department. He/She will accomplish objectives through the use of proper purchasing procedures, inventory control, staff utilization, security, pricing, merchandising, displaying and advertising. The Parts Manager must be an investment advisor and profit producer for the department.
DUTIES AND RESPONSIBILITIES:
MANAGEMENT RELATED
- Develop a Pricing policy that produces profit and maintains customer satisfaction.
- Establish individual parts inventory levels and balance them for maximum turnover.
- Place stock orders and customer special orders on a daily basis
- Select, train and supervise all employees in the parts department while employing successful staff utilization techniques.
- Conduct any necessary employee training.
- Develop an aggressive wholesale parts program to produce profits.
- Analyze departmental operations and storage layout and revise as needed.
- Establish paperwork flow and ensure parts creditors' dollar limits are maintained and are current.
- Assist in collection of past due accounts.
- Develop sales promotions.
- Analyze sales, gross expense, and inventory, and inventory on a monthly basis to maintain profit goals.
- Work with other department heads to accessorize dealership vehicle inventory; New & Used Vehicle Departments
- Motivate and coach all personnel on a daily basis to ensure 100% productivity.
- Maintain good employee relations so the parts department runs efficiently and as a team effort.
- Responsible for hiring and terminating of Parts personnel
- Review and analyze parts counterpersons' performance reports with counterpersons on a weekly/monthly basis.
- Work with Service Manager and FOD in calculating monthly forecast sheets.
- Ensure 100% customer satisfaction.
- Attend managers meetings as scheduled.
- Conduct monthly meetings with employees to discuss any problems and strategies for a more efficient and profitable operation.
- Handle all customer complaints in a timely manner and exceeding their expectations.
- Review monthly analysis reports for lost sales and obsolete parts in order to determine which parts need to be returned to the factory.
- Update the electronic parts catalogs on a monthly basis; run the GM factory master update.
- Ensure the parts counterperson handling the shop parts, orders the parts in a timely manner; parts counterperson inspects all parts to verify no parts are damaged, parts personnel handles promptly to ensure no delay in the shop.
INVENTORY RELATED
- Post daily stock orders and special orders for customers.
- Balance GM invoices to the packing slips.
- Spot check parts bins for accuracy.
- Organize and manage year-end physical inventory of the parts department.
- Monitor the gas, oil and grease inventory on a monthly basis; submit accurate GOG levels to the comptroller at the end of the month.
SHIPPING & RECEIVING RELATED
- Check in orders from UPS, Federal Express and GM Parts on a daily basis.
- Direct stocking of bins with parts received from the factory and other sources.
- Verify incoming shipments of parts and shop supplies using packing slips, invoices, etc.
- Administer warranty parts identification, storage and disposal, plus arranging for return of all defective materials.
- Pulling and packing weekly core returns and monthly parts returns.
QUALIFICATIONS:
- Ability to read and comprehend instructions and information.
- Dealership computer skills, i.e.: Reynolds & Reynolds, Microsoft Word, Excel and Outlook Express.
- Five years experience in an automotive parts department.
- Supervisory experience
- Valid in-state drivers' license.
- Professional personal experience.
- Excellent communication and managerial skills.
WORKING CONDITIONS:
Will spend six to eight hours per shift moving throughout the parts department. Will climb ladders to get parts from shelves. Will stoop, kneel, crouch, crawl, reach, handle and feel. Will work closely with the service department and will be exposed to noise, dust, exhaust fumes, paint, and other hazardous and non-hazardous materials.
