Job Summary
The administrative lead assists the administrative supervisor in managing administrative workload, takes the lead in training admin staff in completing documents, data processing, and performs all secretarial and clerical duties, as needed for all staff members. They will help monitor the quality and daily flow of document and data processing, and communication into and out of the office.
Duties
- Ensure admin support inboxes and delivery outboxes are completed in a timely manner
- Review and perform QC for administrative tasks
- Assist Facilities and Office Administrator with tasks as requested
- Assist Geotechnical Practice Leader with maintaining and updating the Weekly Coordination spreadsheet
- Prepare reports, correspondence, proposals, forms, etc.
- Data entry and contracting of proposals
- Process documents for distribution
- Answer telephone
- Open and distribute mail
- Keep kitchen, conference room, and lobby fully stocked and clean
- Project filing
- COI requests
- Distribute office supplies to staff
- Create project folders and binders
- Archiving documents
- Assist with computer maintenance
- Assist with postage machine maintenance
- Manage RSVP’s for luncheons/meetings
- Assist in organizing staff events
- Assist in ordering supplies for all office locations
- Assist managing employee alarm codes
- Assist managing phone line assignments
- Other tasks as assigned
Skills
- High school diploma
- Strong problem solving skills
- Leadership and organizational skills oversee administrative processes
- Three years clerical experience
- Word processing and technical edit experience (intermediate to advanced)
- Proficient spreadsheet and database skills
- Data entry
- Excellent written and oral communication skills
- Professional attitude, telephone etiquette, and appearance
