Its property management portfolio currently consists of office and retail properties covering approximately 13.9 million square feet. General Position Summary:

The Assistant Property Manager (APM) is responsible for providing support to the Property Manager (PM) at Town Center of Mililaniin all areas of management for the assigned properties including accounting, operational and administrative functions. The position may occasionally require attendance at evening or weekend property events and/or marketing programs.

Essential Functions/Major Responsibilities:

  • Assist PM with preparation and submittal of Monthly and/or Quarterly Reports, such as MRI reports, sales reports, etc. as required; assist with annual Budget creation as applicable.
  • Follow-up with property accountants on Manual Billing Adjustments or draft the adjustments as needed.
  • Communicate with property accountants and A/R team on Manual Billing Adjustments, unapplied cash, etc. to ensure accurate statements.
  • Monthly A/R collections and follow-up as directed by PM.
  • Review reconciliations with PM for approval and ensure proper mailing of year-end reconciliations. Work with tenants on questions regarding the reconciliations once mailed and follow-up on tenant payments.
  • Process payables in a timely manner through AVID.
  • Track Real Estate Tax due dates; ensure checks are processed and mailed in a timely manner. Follow-up to ensure payments were received and processed by the taxing authorities.
  • Maintain/Update tenant insurance tracking in Ebix system or/and in Excel.
  • Prepare letters for new tenants such as Possession and Commencement letters
  • Prepare and process Vendor Agreements. Set up new vendor files and maintain as required.
  • Prepare incident reports and communicate with the insurance company when needed.
  • Assist with tenant issues, maintenance calls, and tenant improvement projects.
  • Maintain/Update Emergency Response Manual and other property information spreadsheets.
  • Update utility tracking reports.

Reporting, Community Involvement and Professional Development:

· Maintains good working relationship with community partners and attends industry association meetings, trainings, etc.

· Maintains appropriate CEU’s to ensure any Real Estate license requirements are met.

· Stays abreast of property management and other real estate related industry standards, legislation impacting department and industry practices, policies and procedures.

· Regularly communicates and cooperates with Asset Management staff on all PM reporting and regulatory issues.

Specific Job Skills:

· Strong knowledge of property management and tenant/landlord practices, laws, rules, and regulations. Good command of commercial management and leasing practices.

  • Ability to analyze, evaluate and act on issues and/or problems, reach sound conclusions and take as appropriate action.

· Possess good verbal, written and interpersonal communication skills, as well as good computer skills. Experience with property management software helpful.

· Assist any third-party Risk Advisor with property related insurance issues, including the Tenant & Vendor Certificate procedures and the placement of the property policies

Education and/or Experience:

  • Bachelor’s degree or 5 years relevant experience, preferably in retail commercial environment.
  • 5 years administrative experience, preferably in retail commercial environment.
  • Real Estate Salesperson License required.
