HD Fowler Company has an immediate opening for a full-time Fleet Coordinator. This vital role is responsible for overseeing the company’s trucks, forklifts and employee-use vehicles in 26 locations. The Fleet Coordinator works closely with operational directors, branch managers, sales directors and vendor partners to ensure we have the right equipment servicing our sales and business needs while simultaneously managing costs and operational efficiencies. This role is responsible for purchasing new vehicles, schedules maintenance, coordinates repairs, tracking fuel usage, monitoring vehicle assignments and assuring compliance with safety regulations. The Fleet Coordinator reports to the Director of Employee Learning and Development and Safety.

Key Responsibilities of the Fleet Coordinator include, but are not limited to:

Fleet Vehicle Management:

  • Monitor vehicle usage and assignments, ensuring proper allocation of vehicles to branches and employees.
  • Manage vehicle registration and licensing compliance.
  • Collaborate with HR and Safety teams to ensure compliance with DOT regulations and provide updates on changes to any regulations.
  • Collaborate with the Safety Coordinator for regular vehicle inspections to identify potential safety hazards.

Vehicle Maintenance Scheduling:

  • Manage preventative maintenance schedules for all fleet vehicles.
  • Coordinate with external repair shops for vehicle servicing and repairs.
  • Track work orders, monitor repair status, and ensure timely completion.
  • Review maintenance history to identify recurring issues and potential replacement needs.

Fleet Acquisition and Disposal:

  • Work with directors to develop forward thinking budgeting and planning.
  • Assist in the process of purchasing new vehicles, including researching options and creating specifications.
  • Evaluate vehicle replacement needs based on age, mileage, and condition.
  • Manage the disposal of old or unusable fleet vehicles.

Cost Control and Budgeting:

  • Monitor fleet expenses related to maintenance, fuel, and repairs.
  • Identify cost-saving opportunities and implement strategies to optimize fleet operations.
  • Prepare budget reports and track spending trends.
  • and incidents, taking corrective actions as necessary.
  • Generate reports on fleet performance metrics such as fuel usage, maintenance costs, and vehicle utilization.
  • Analyze data to identify trends and make recommendations for improved fleet management.

Required Skills and Qualifications:

  • At least 3 years’ experience with corporate fleet oversight, proven track record working with third party fleet vendors.
  • Basic mechanical knowledge and understanding of vehicle maintenance procedures.
  • Excellent communication and interpersonal skills to interact with drivers, vendors, and internal stakeholders.
  • Strong organizational and time management skills, proficiency in fleet management software
  • Expertise in DOT regulation and FMCSA compliance.
  • Attention to detail and ability to maintain accurate records.
  • Competency in Electron logging devices (ELD) and driver logs
  • Ability to travel in company footprint, valid state driver’s license and clean driving record. Working vehicle that can be used for company use (mileage/fuel reimbursement).
  • Intermediate knowledge of Microsoft Office Products.

  • This is an hourly position, overtime eligible.
  • Working Hours: Monday - Friday 7AM-4PM, in office.
