Hawaii Pacific Neuroscience Continues to grow! We are looking to add to our team by offering a Full Time Front Office Assistant. Candidate must be willing to travel back and forth from Honolulu to Waikele for cross coverage.

JOB PURPOSE
HPN's Front Office Associate will be on the front lines in patient care and will be responsible for assisting the Administrative Medical Assistant with front desk duties to ensure smooth day to day operations taking care of clinic and patient needs.
Will be responsible for organizing files, draft messages, schedule appointments, and support other staff. Will perform a variety of clerical and organizational tasks that are necessary to run the organization efficiently. Must be efficient in creating spreadsheets, composing messages, manage databases, interpret reports, and manage documents.
MIN QUALIFICATIONS:
1 year of experience working in an administrative role is preferred. Ability to pay attention to detail and multitask in a fast paced environment while under pressure is essential. Demonstrate customer service skills and ability to handle difficult patients when necessary. Must be a team player who is eager to work with all associates, patients, vendors, and outside offices.
JOB DESCRIPTION:
- Strong professional customer service skills are required. Will be the front line and face of HPN to receive clients while working in a fast paced environment
- Demonstrate the ability to multi task efficiently while maintaining a professional attitude
- Will answer a busy phone line system - direct calls, take messages and schedule appts as needed.

- Data Entry of medical information
- Responsible for faxing and filing medical record requests
- Overviewing and Assigning documents to the appropriate staff member for completion
- Take in copays and produce a day sheet report -- responsible for the cash box and managing petty cash
- Will work with all Microsoft office software, Box accounts, Google apps for business, Company server and will be responsible for any copying of reproducible for the week.
- Will be responsible for overseeing all front office activities and will advise staff members of work that needs to be completed by asking them for assistance
- Will be a point of contact for Administration and will be asked to advise management on current needs of the front office. Administration will ask for weekly updates on necessary changes and will be ultimately responsible for work that is incomplete.
- Will work with MA and Patient Care Coordinators to establish Letter Sets for pts i.e. work release letters, requests for more information, School notes. Letters are kept on the Pt Care Drive for access to clinic staff. (patient specific letters)
- Run recall lists and maintain patient specific reminder alerts from the Hub
- Will act as an assistant to the biller and will provide support in delinquent accounts, establish out of office encounters, and answer simple billing questions or refer to the medical biller for further detail.
- Will work with administration to send out promotional material
- Assist in meeting arrangements and set up as needed at the request of management
