What are the responsibilities and job description for the RTL Program Assistant (Temporary) position at Helping Hands Hawaii?
THIS IS A PART TIME TEMPORARY POSITION. MUST BE AVAILABLE FROM FEBRUARY 2024 - AUGUST 2024
To perform a variety of administrative tasks and projects, related to the Ready to Learn (RTL) program and Community Clearinghouse(CCH) programs, to include the review of applications for assistance. Assist in coordinating events between departments and programs of Helping Hands Hawaii, as well as with social service partner agencies. To comply with company code of ethics, confidentiality practices, HIPAA, safety and all other policies and procedures.
Essential Duties & Responsibilities:
- Responds to all incoming inquiries and requests via phone, email and online (website and social media) regarding RTL.
- Processes and maintains applications for RTL assistance received.
- Inputs and updates applicant data on an outcome tracking database.
- Assist with coordinating collection drives with community donors, including but not limited to scheduling donation drop offs and pickups, inventorying of donations in donation tracking database.
- Assists in scheduling RTL kit distributions for clients and partner providers.
- Assists the Program Manager and Program Coordinator in planning and coordinating activities for the RTL program.
- Assist with sending out surveys to partners, clients and donors.
- assist with sending out acknowledgement letters for community drives.
- Completes administrative tasks, which include but may not be limited to forms processing, data entry, photocopying, word processing, and filing.
- Assists with answering incoming phone lines and routes to appropriate departments and/or contact person.
Minimum Qualifications
- High School Diploma or equivalent
- One (1) to two (2) years of customer service and/or administrative experience.
- Extensive working knowledge of computer programs including but not limited to Microsoft Word and Excel, Power Point and other database operational software.
- Ability to work directly and collaboratively with diverse persons and programs found in a multi-faceted agency and community.
- Ability to organize, direct, review and evaluate activities and volunteers.
- Effective Communication skills (listening, speaking and writing)with proven ability to take and relay detailed and accurate information.
- Detail oriented and ability to multi-task.
Preferred Qualifications:
- Six (6) months to one (1 ) year of progressive job-related experience in the Human Services environment.
- Driver's license, clear driver's abstract, and willingness to use a properly insured vehicle.
