Purpose: The middle school administrative assistant & registrar is responsible for the provision of a wide-range of scholastic-related services and events for the students and faculty specifically needed to complement academic programs.
Accountability: Reports to the middle school principal
FLSA Status: Non-Exempt, Full-Time
Qualifications/Skills:
- Must be a Christ-follower who upholds, in word and deed, the Hill Country Christian School of Austin’s Core Values and Statement of Faith.
- Must faithfully attend a church whose fundamental beliefs are in agreement with the Statement of Faith of this school.
- High school diploma required; associate’s or bachelor’s degree preferred.
- Demonstrated experience and knowledge of Google applications and Microsoft Office products.
- Must be capable of exercising good judgment in evaluating situations, managing priorities, and making decisions.
- Must have strong organizational and interpersonal skills.
Responsibilities:
- Manage, purchase, and track shipments for curriculum and relevant items.
- Assist students and parents with needs or concerns and provide a warm and friendly atmosphere for the principal’s office.
- Assist in scheduling parent, faculty/staff, and student meetings with the Middle School Principal.
- Plan, coordinate, and facilitate events related to middle school (i.e., House competitions, awards ceremonies, end-of-year events, etc.).
- Publish and maintain events and activities related to middle school on school calendar.
- Maintain resource folders for middle school faculty and staff on Google Drive, internal drives, etc.
- Coordinate and organize yearbook pictures.
- Assist the dean of students with daily attendance and attendance records of students.
- Assist in the maintenance of a variety of files, documents, and student records (i.e., report cards, transcripts, standardized test scores, academic achievement records, etc.).
- Prepare and maintain permanent student record and cumulative folders for all students, including requesting records from previous schools for new students.
- Process requests from students, other schools, colleges/universities and/or employment agencies (i.e., transcripts, job verification, student course requests, attendance/graduation verification, etc.) for the purpose of providing required information.
- Review, edit if necessary, and submit submissions for weekly newsletter.
- Assist in administering student testing (i.e., CTP, Semester/Final Exams, etc.).
- Coordinate Duke Talent Identification Program (TIP).
- Oversee and manage 4th floor storage room (commonly called “Narnia”).
- Complete other duties as requested to support the projects and goals of the school.
Physical Requirements:
- Must be able to remain in a stationary position the majority of the time using repetitive arm, hand and finger movements; be able to finger, handle, or feel objects, tools or controls.
- Needs to frequently move about inside the office to access file cabinets, office machinery, etc. and occasionally outside the office to other areas of campus.
- Operates a computer the majority of the time and frequently a copy machine.
- Must be able to exchange accurate and professional information whether in person, via email or via telephone. Frequently communicates with co-workers and others.
- Ability to work in a semi-open office setting with frequent in-person interaction and numerous interruptions.
- Possess physical stamina required to fulfill the professional obligations of their specific assignment. Occasional lifting of 5 to 30 pounds.
- Must be flexible and adapt to various schedules and administrative changes.
- Possible exposure to a variety of childhood and adult diseases and illnesses.
