We have an immediate opening for Return Material Authorization (RMA) Specialist. The RMA Specialist is primarily responsible for the administration and processing of material returns with activities that contribute to service and supply chain management. This team member is responsible for ensuring accurate intake, approval, and processing of RMA orders, efficient triage of incoming customer equipment for RMA orders and performing the corresponding administrative work in an effective manner.

Pay Range $19.00 - $22.00 depending on experience

Responsibilities:

  • Providing service to internal customers via phone, email, and other network tools in order to process returns for repair and/or material replacement.
  • Handling inbound materials for RMA processing, to include intake and triaging of incoming equipment to determine if products are accepted for repair or rejected.
  • Handling outbound goods for RMA processing, setting up shipments of equipment to off-site repair facilities.
  • Determining if the unit(s) are under warranty or covered under a product protection plan in determining the appropriate quoting or invoicing actions.
  • Providing customer quotations for repair/replacement and working with partners or customers to obtain PO’s for processing and fulfillment of the RMA.
  • Processing RMAs and releasing for shipment from local warehouse; this includes direct delivery orders and advanced replacements.
  • Working with customers and partners to ship back rejected equipment.
  • Working with vendors on open ticket issues, including processing advanced replacements and license requests.
  • Working with warehouse to identify and process equipment to be scrapped or sold.
  • Completing corresponding administrative work for tracking purposes. 
  • Keeping track of any defective or stock rotation returns.
  • Troubleshooting returned hardware and documenting the steps taken to rectify the problem while maintaining archive data into various software systems.
  • Verifying incoming RMA shipments.
  • Packing products for RMA.
  • Checking and recording RMA inventory in stock on a regular basis.
  • Ensuring the proper unloading and staging of spare parts within designated warehouse areas.
  • Responsible for daily review and reconciliation of return material authorization (RMA) forms with physical inventory returns.
  • Performing monthly disposition (return, disposal, closeout) of RMAs; including physical inventory returns.
  • Perform a daily review and follow up of pending or missing RMAs in various software systems.
  • Communicating daily with project managers, project leads, warehouse and operations teams on the status of pending RMAs through standard reports.
  • UPS/FEDEX small parcel shipments
  • Performing additional duties as required and or requested.

Qualifications/Requirements:

  • Demonstrated ability to work effectively and quick learning in a collaborative team environment
  • Excellent communication, customer service, and interpersonal skills
  • Ability to regularly lift 50 lbs
  • Basic Microsoft Word/Excel Experience
  • Regularly required to sit, stand, bend, reach and move about the returned product or testing units.
  • Must be willing to learn new skills and be adaptable
  • Must be able to prioritize and manage competing tasks
