SCOPE:
The ATM, Cash and Card Operations Team Lead is responsible for the support and execution of the daily processing, balancing and maintenance of payments, card products, troubleshooting errors, resolving escalated issues/errors, providing guidance to team members and managing the team's overall workflow. The ATM, Cash and Card Operations team is critical to the Bank's successful daily processing, decision making and timely handling of critical functions related to card products. The team is a resource to internal staff, working in a very time driven environment that requires great attention to detail, speed and accuracy to meet daily processing and regulatory deadlines.
ACCOUNTABILITIES:
Card Operations
- Complete the accurate and timely processing and maintenance of credit card payments.
- Maintain onsite and offsite credit/debit card inventory, track usage and forecast future needs working with internal departments to ensure delivery, set up and registration of all card products.
- Serve as a resource for Retail staff regarding the Instant Issue card machines.
- Oversee the Bank's gift card program, balancing and card inventory.
- Evaluate and approve customers' picture perfect debit card requests ensuring proper controls are in place to adhere to federal regulations.
- Process credit card applications, ensuring customers' card requests are completed fully.
- Ensure timely response and proper maintenance of all charge off card items, collaborating with internal departments to meet regulatory timelines.
- Initiate and respond to customer requests for credit reporting reviews and corrections related to credit card payment history.
- Initiate and complete the monthly credit/debit card re-issues, ensuring timely reissue and receipt of all customer cards.
- Process daily and monthly balancing of all internal accounts and GLs related to credit/debit card processing. Troubleshoot when necessary and work with others to reconcile offages timely and ensure proper documentation of monthly approval.
- Serve as a resource for other Bank employees in regards to credit and debit card orders/issues.
ATM Operations
- Assist with the monitoring of the ATM fleet through reconciliations and problem resolution.
- Assist with the coordination of adds, moves and changes for all ATMs owned and/or operated by Hills Bank.
- Assist with monitoring of ATM cash levels to ensure appropriate cash levels are maintained.
- Place ATM cash orders and reconcile, as needed.
- Oversee all necessary daily ATM reconciliations.
- Submit monthly terminal and GL reconciliations for review.
Currency Fleet (Currency Recycler (TCR), Coin equipment)
- Assist with monitoring the TCR and Coin Counter fleet through account reconciliations and problem resolution.
- Assist with the coordination of adds, moves and changes for equipment.
Currency and Coin Management
- Prepare cash and coin ordering from the Fed and armored car company for us in branch and ATM fleet and perform daily transactions
- Prepare cash and coin sales from the branch to the Fed and armored car company and perform daily transactions.
- Troubleshoot and resolve any cash discrepancies that may occur.
- Review and reconcile bank cash levels in our vault at the armored car company to ensure appropriate levels are maintained.
- Assist with audit reporting as needed.
- Coordinate, perform and reconcile branch Fed cash orders.
Leadership
- Utilize critical thinking skills to solve complex problems and seek solutions.
- Establish effective working relationships at the work group level to assist with departmental leadership to ensure daily objectives are met as well as assisting with the execution and evaluation of new processes and initiatives.
- Provide guidance and expertise in relation to business line leadership, ensuring timely escalation of potential issues to appropriate levels of management.
- Manage the department schedule, ensuring adequate coverage at all times.
- Ensure training and resource materials are up to date and clearly understood and relayed to applicable employees.
- Guide team members on a variety of complex problems, helping to identify solutions and assist in implementation of those solutions.
Other Duties
- Maintain relationships with ATM hardware and software vendors, third-party servicing companies, ATM networks and others as appropriate.
- Maintain a mastery of all processes and procedures related to ATM, Cash and Card processing to products offered by the bank to ensure adequate processing and department coverage.
- Other duties as assigned.
EDUCATION AND SPECIAL REQUIREMENTS:
- High school diploma or equivalent required, 2-4 years' experience in retail banking and/or operations at a community bank or equivalent
- Leadership or supervisory experience preferred.
- This job requires skills needed in a typical office environment. This includes computer skills, communication skills, as well as utilization of office equipment.
