We are seeking a dedicated and organized Executive Assistant to support our Insurance Representative specializing in senior citizen services. This part-time role involves providing administrative assistance, coordinating schedules, and assisting with the enrollment of individuals in insurance plans. The ideal candidate is detail-oriented, personable, and committed to ensuring a seamless experience for our senior clients.

Key Responsibilities:

  • Administrative Support:
    • Manage calendars, appointments, and scheduling for the Insurance Representative.
    • Handle email correspondence and phone communications with clients, partners, and vendors.
    • Maintain organized records of client interactions, documents, and insurance applications.
    • Prepare reports and assist in tracking enrollment metrics.
  • Insurance Enrollment Assistance:
    • Guide senior citizens through the enrollment process for insurance plans, ensuring all necessary documentation is completed accurately.
    • Explain policy details and answer client questions in a clear, compassionate, and professional manner.
    • Follow up with clients to ensure enrollment completion and satisfaction.
  • Client Relations:
    • Serve as a primary point of contact for senior clients, addressing inquiries and providing updates.
    • Build and maintain positive relationships with clients to support retention and satisfaction.
  • General Office Duties:
    • Manage office supplies, documents, and filing systems.
    • Assist with event coordination or client workshops as needed.

Qualifications:

  • High school diploma or equivalent; additional education or certifications in administration or insurance is a plus.
  • Experience in administrative roles, preferably in insurance, healthcare, or a related field.
  • Familiarity with insurance enrollment processes is highly desirable.
  • Excellent communication and interpersonal skills, especially when interacting with senior clients.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and CRM systems.
  • Strong organizational skills with an ability to multitask and meet deadlines.
  • Empathy, patience, and a commitment to providing exceptional service to senior clients.
