Job Summary: The Donation Processing Coordinator assists the Foundation and Finance Staff and provides technical support related to fundraising software and gift processing. Processes and acknowledges donor gifts in a timely manner, assists donors with questions/concerns, provides mailing lists and reports to foundation staff and monthly financial reports to finance.
Essential Functions:
- Serves internal customers with regard to Foundation information.
- Assists Supervisor with database maintenance, including adding, updating and purging information.
- Assists Foundation staff in maintaining prospect and donor profile information as directed by Supervisor.
- Creates gift batches for NorthStar donations; ensures accurate and timely processing. Acts as lead liaison for all sites regarding batch preparation, Foundation donation processing and preparation, and providing Fundraising software support to Foundation staff.
- Assists with special projects relating to data needs of the Foundation team.
- Prepares month-end fundraising software reports and reconciles with Finance Department on a monthly basis.
- Ensures that gifts are acknowledged on a timely basis.
- Assists with preparation of lists and reports as needed from fundraising software database.
- Completes and analyzes reports as assigned.
- Manages communication with customers, and co-workers reaching acceptable outcomes.
- Provides administrative support to supervisor and foundation staff as needed.
- Works collaboratively and actively participates in team functions and meetings.
- Researches and updates addresses for returned mail.
- Utilizes allocated supplies and resources appropriately to ensure business outcomes are met.
- Adjusts to changes in workload and schedule based on changing departmental priorities.
- Participates in internal and external education, training, in-services and other activities to promote personal and professional growth.
- Adheres to organizational Code of Conduct, policies, procedures, protocols and processes and all regulatory and legal requirements.

Qualifications:
- High school diploma or GED equivalent required.
- Two (2) to four (4) years of database management software experience required. Previous customer relations experience preferred.
- Experience working with the public in a positive, efficient, compassionate manner required.
- Must possess sound judgment; effective organizational, prioritization and follow-through skills; attention to detail; accuracy; dependability; tact; and ability to maintain confidential information.
- Experience creating, organizing, completing projects; working with vendors.
- Extensive experience with Microsoft applications and Raisers Edge or other fundraising software experience required.
- Must be able to read, write and speak English and be able to effectively communicate orally and in writing in internal and external relationships for all essential job functions.
- The physical and sensory demands of the position include: vision, effective speech and hearing for extensive telephone contact; repetitive motion; driving or riding in a motor vehicle; standing, sitting, walking, bending, reaching, and stretching; and lifting up to twenty five (25) pounds unassisted.
- Must be able to multi-task and coordinate several projects simultaneously.
