Job Overview
The Group & Event Sales Manager actively prospects for, solicits, and sells groups and coordinates the daily operations of the Group Sales program. Also performs a range of duties including generating and nurturing leads, selling group blocks, processing, and servicing all requests for groups, handling all group customer inquiries, and producing status reports. The core focus of this position is the development of hotels overall group segment based on annual revenue goals.
ESSENTIAL FUNCTIONS:
The Group Sales Manager works closely with the sales team to execute the following tasks:
- Understanding of market conditions impacting group & event sales including vendors and influencers in the market.
- Develop and conduct persuasive verbal sales presentations to prospective clients while fostering keen skills from sales call processes.
- Utilize revenue management strategies and yielding when quoting group pricing.
- Coordinate and process all phases of group contracts, book orders, secure deposits and payments for group blocks
- Handle account details, billing and post-checkout duties so that all pertinent aspects of solicitation and closing are complete and documented.
- Schedule and conduct group site tours
- Pre arrival and group follow up calls with group sales customers to determine satisfaction.
- Prepare information for, meet with and entertain clients as deemed appropriate by potential business from that account.
- Travel locally to conduct outside calls with sales leadership or independently, promote the hotel and review competition.
- Monitor group pick up on monthly and annually historical group volume report
- Maintains a database and tracks group sales leads, inquiries, lost business, sales revenue, and provides ongoing status reports
- Coordinate and assists training with the front desk to confirm group sales reservations are made correctly
- Establish and maintain relationships with the travel trade accounts, vendors, and partners within SMERF markets and maximize sales opportunities.
- Responsible for overseeing the coordination of the hotel’s function calendar.
- Inspects and walk hotel function space daily to ensure correct meeting room setups, cleanliness, and good working condition of equipment.
- Ensures that all function space in the hotel is well presented in show fashion and maintains a scheduled cleaning program for each function room.
- Responsible for routing group resumes and BEOs to departments for groups and events.
- Attends weekly department and BEO meetings.
- Advises hotel department heads of special requirements of groups coming into the hotel.
- Represent hotel at trade shows and ensure proper set up of exhibits
- Ensure group sales and banquet sales meet service and budgeted goals.
- Ensure smooth flow of information and communication from Sales to Banquet Services and the Food & Beverage department
- Create and maintain a good working relationship with the Banquet Manager/F&B Manager to ensure a smooth operation of group functions
- Ensures that the desired level of quality is maintained in all meeting room furnishings on a continuing basis.
- Ensures that all equipment used in the department is in good order and uses preventive maintenance schedules for all equipment.
- Maintain all brand required trainings and communications regarding position.
Skills
- Strong knowledge of Hotel operations and hotel management principles.
- Proficiency in revenue management techniques to optimize room sales.
- Familiarity with phone systems and exceptional phone etiquette skills.
- Bilingual abilities are a plus for enhancing guest communication.
- Exceptional guest relations skills, ensuring a memorable experience for all visitors.
