Join Our Team as an Executive Administrator/Operations Manager

We are seeking a highly motivated, detail-oriented Executive Administrator/Operations Manager to partner with our CEO and lead our team of 15 in delivering operational excellence, financial stewardship, and patient-focused care. Key ResponsibilitiesExecutive and Team Leadership
- Lead a Team of 15: Oversee a diverse, multidisciplinary team, fostering collaboration, accountability, and alignment with practice goals.
- Calendar Management: Proactively manage the CEO's professional and personal schedule, ensuring smooth coordination of meetings, travel, and events.
- Communication: Act as the CEO’s liaison with internal teams, stakeholders, and external partners. Respond to inquiries, manage correspondence, and maintain professional relationships.
Operations Leadership
- Stakeholder Relations & Business Development: Build and foster partnerships with affiliate surgery centers, hospitals, and business leaders to support growth initiatives.
- Information Management: Organize and maintain secure digital and physical files, emails, and sensitive documents.
- Your personal Virtual Assistant: Oversee your own personal virtual assistant, ensuring seamless delegation and task completion.
Financial and Billing Oversight
- Billing Coordination: Work closely with the billing team to monitor and improve collections, reduce denials, and ensure accurate coding practices.
- Financial Reporting: Prepare and review monthly financial reports, analyze data, and provide actionable insights to improve revenue and operational efficiency.
- Expense Management: Manage expense reporting and reimbursement processes, ensuring accuracy, compliance, and timely submissions.
- Payroll Oversight: Supervise payroll processing, ensuring staff are paid accurately and on time while maintaining compliance with labor laws.
- Budget Management: Assist in setting budgets, tracking expenditures, and maintaining financial controls to meet practice goals.
Event and Expansion Coordination
- Event Management: Plan and execute business and personal events with attention to detail and efficiency.
- Real Estate & Expansion Support: Collaborate with real estate agents to open a second Houston Gastro Institute location, managing timelines, tasks, and documentation.
Operational Excellence
- Credentialing Oversight: Manage and maintain hospital credentialing for the CEO and incoming physicians, ensuring certifications, licenses, and renewals are up to date.
- Travel Arrangements: Arrange all domestic and international travel plans, ensuring every detail is accounted for.
- Foot Marketing: Support community engagement by building relationships with local businesses and medical communities to expand the patient base.
What We’re Looking For
We’re seeking a candidate with:
- Proven leadership experience managing teams of 10 or more in a healthcare or operational environment.
- Experience with billing, financial analysis, and payroll oversight, preferably in a medical setting.
- A proactive, problem-solving attitude and ability to anticipate needs before they arise.
- Minimum of 2 years of executive support or operations experience in a fast-paced environment.
- Expertise in managing schedules, events, travel, and communication at a high level.
- Strong leadership and organizational skills, with a focus on operational and financial efficiency.
- Proficiency in G-Suite, Microsoft Office, and project management tools such as Trello, Monday, or Asana.
- Discretion and professionalism in handling confidential information.
- A desire to grow personally and professionally alongside a dynamic team.
