Contract Administrator
Job Summary:
The Contract Administrator will support the AOR (Add or Replace), Light Commercial, and Commercial Construction departments in an administrative capacity. The role involves managing the preparation and review of sold quotes, coordinating jobs, ordering materials, and providing administrative support. This position will also assist in managing sales processes and job scheduling. This position will work alongside the Commercial Construction Administrator in a supportive capacity.
Key Responsibilities:
- Cross-Training & Department Support:
- Be cross-trained in both the Administration and Light Commercial Service departments.
- Provide administrative support for the Commercial Construction department as needed.
- Job and Lead Management:
- Receive and schedule incoming leads for residential HVAC installations.
- Build jobs and quotes for residential and light commercial installations.
- Coordinate scheduling for residential and light commercial installations.
- Material & Equipment Coordination:
- Order materials and equipment required for residential and light commercial installations.
- Sales Process & Follow-Up:
- Manage the sales process from start to finish for residential and light commercial installations.
- Utilize sales software to track leads, follow-up on unsold leads, and manage ongoing projects.
- Commercial Department Support:
- Provide administrative support to the commercial department by assisting with contract administration.
- Pull permits, issue purchase orders, and schedule subcontractors for job sites.
- Request inspections and manage re-inspections if required.
- Ad Hoc Assignments:
- Complete any other ad hoc administrative tasks as required by the departments.
Qualifications & Skills:
- Strong administrative and organizational skills.
- Familiarity with residential HVAC systems and light commercial services.
- Experience in contract management and job scheduling.
- Proficient in sales software and administrative tools.
- Ability to work cross-functionally with multiple teams.
- Detail-oriented with excellent time management skills.
This is an in-person position, 8-5.
