Position Summary:
Following the direct supervision of the construction manager, Project Assistant is responsible for performing a variety of functions (tasks) to coordinate and facilitate the timely and cost-effective completion of all commercial construction projects.
Position Duties:
1. Responsible for the effective and efficient coordination of a variety of tasks to facilitate the cost effective completion of all commercial construction projects.
- Files for all applicable construction permits and periodic inspections.
- Arranges for and tracks usage of all rental equipment including crane services.
- Establishes and records service warranties when applicable.
- Provides general support to the commercial salesperson and management staff as needed.
- Processes submittal data and assembles Operation and Maintenance Manuals.
2. Assists Contract Admin in various tasks to support the accurate and timely financial accounting of all commercial construction projects as well as fills in when CA is out of the office or fluctuations in workload.
CA duties are the following:
- Monthly billing and job completions (closings).
- Processes all monthly commercial billing in accordance with contract provisions and any applicable change orders.
- Provides assistance with account receivables related to specific contracts.
- Processes various monthly documents to include billing, warranty and closing reports
3. Responsible for performing general office support functions as needed to include, but not limited to, filing and answering phones. All communications and interactions with customers is handled with courtesy at all times.
4. Maintain knowledge of and adherence to all company policies and procedures.
5. Perform all additional duties as requested by the controller.
Position Qualifications
Knowledge/Education:
High School or GED or higher education with educational achievement commensurate with understanding a wide variety of company policies and procedures and providing the required support to facilitate the communication and understanding of those policies. Must have demonstrated interest in completing periodic continuing education courses that are related to and enhance the efficient and effective performance of job responsibilities.
Training/Experience:
Two (2) years prior general office experience utilizing computer programs and commercial construction exposure to COs, RFIs, O&Ms, etc.
Skills/Aptitudes/Abilities:
- Good proficiency in math
- Proficient use of a computer
- Good organizational skills
- Ability to work quickly and accurately with details
- Ability to multi-task with accuracy
- Ability to communicate effectively with vendors, co-workers and general public
- Must be proficient in MS Word, excel and Outlook
- Must be CPR and First Aid certified or agreeable to become certified
- Must have acceptable criminal record in accordance with applicable regulations

- Ability to lift 15 pounds, stand, bend and reach
- Ability to climb stairs multiple times daily
