Job Title: Onsite Travel Coordinator

Summary:
The employee will manage travel logistics, ensuring compliance with regulations while maintaining efficiency and accuracy. Responsibilities include planning and booking travel, liaising with Travel Management Companies (TMCs), and processing clearances and travel documents like passports and visas. They will utilize systems like DTS, SMS, and IGC for transportation coordination and budget management, acting as a Non-DTS Entry Agent and Reviewing Official.
Additional duties involve supporting personnel with system troubleshooting, resolving travel and payroll inquiries, conducting quality checks on documentation, maintaining detailed records, and ensuring all training and requirements are met. This position will require adapting travel plans to evolving mission needs and providing multi-channel support.
Job Duties & Responsibilities:
· The employee will plan transportation methods, make reservations, and handle travel orders once authorized by the Approving Official (AO). This involves booking flights, lodging, and any other necessary travel-related services.
· The employee will liaise with TMCs to secure travel accommodations and manage any issues that arise.
· Employ the Single Mobility System (SMS) and Integrated Developmental Environment/Global Transportation Network (IGC) to verify airlift availability and coordinate transportation logistics.
· Process theater and country clearances to ensure all travel complies with international and local regulations.
· Work with the Agency’s Passport/VISA Office to ensure all necessary travel documents are obtained and valid.
· Provide support through various channels (phone, email, in-person) to resolve travel and payroll-related inquiries.
· Help personnel troubleshoot issues with travel systems and navigate complex regulations.
· Offer guidance on travel logistics, including planning, adjustments, and problem solution.
· Create and manage documents related to timekeeping, attendance, and payroll issues, and address any related questions.
· Act as a Non-DTS Entry Agent and Reviewing Official to manage travel documents within the Defense Travel System (DTS). This includes creating and overseeing travel requests and vouchers.
· Assign Lines of Accounting (LOA) in DTS and ensure travel budgets are adhered to, making adjustments, as needed.
· Managing and executing changes to travel arrangements as mission requirements evolve.
· Keep up-to-date records and traveler profiles, ensuring all changes and updates comply with regulations while updating records and traveler profiles.
· Ensure all travelers complete required training and submit necessary documentation before travel.
· Maintain and manage detailed reports, trackers, and checklists related to travel arrangements and expenses.
· Perform thorough quality checks on travel authorizations, vouchers, and financial documentation to ensure accuracy and compliance.
This is a fully onsite position, with work being performed in the office and will generally encompass a standard workweek spanning Monday through Friday during regular business hours.
Education and Experience:
- High school diploma or GED
- 1-2 years administrative equivalent experience
- Federal, DoD, and NGA Travel Regulations: Understanding of these regulations to ensure compliance and proper handling of travel arrangements.
- COCOMS Entry Requirements Knowledge: Have an extensive understanding of Combatant Command (COCOM) entry requirements to assist personnel effectively.
Physical Requirements:
· Predominantly Sedentary work. Work is performed in an office or home office environment and requires the ability to operate standard office equipment and keyboards. Requires the ability to walk short distances.
· Exerting up to 15 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
· Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
