THE OPPORTUNITY
This Executive Assistant's (EA) role is to provide exceptional operational and administrative support to the Member Engagement Department. This is a good opportunity for an individual with strong attention to detail to work in a department specializing in various tasks that support an international organization. You will join a dynamic, fast-paced team working within an organization that values and rewards higher- level thinking and strong people skills. The role will be hybrid and report to the Director of Member Engagement.

RESPONSIBILITIES
The EA role will be a part of the Member Engagement team and mainly support two programs including the IFAC Advisory Group and the IFAC Member Compliance Program. The EA will also support various team members with meeting planning, and operational and expense management support.
Essential duties and responsibilities are those set out below. Other duties may be assigned to meet business needs. The duties and responsibilities include the following:

  • Supporting the planning and implementation of Advisory Group meetings and IFAC events including, but not limited to, registration tracking, meeting room & AV contract negotiations, formatting and distributing agenda material, and visa letter preparation.
  • Providing travel management support, including air, visas, hotel, and ground transportation arrangements.
  • Assisting with scheduling and moderating conference calls, webinars, and hybrid meetings.
  • Assisting with expense management, reconciliation, and cost tracking.
  • Supporting the fiscal management of the team including processing invoices, collecting information for budgeting purposes, tracking expenditure, and assisting with quarterly reconciliation.
  • Maintaining up-to-date records for IFAC Member key contacts using iMIS (engagement management system).
  • Supporting the IFAC Member Compliance Program by publishing relevant documents about IFAC Members and Associates on the IFAC website, preparing monthly communications to be distributed to key stakeholders using our membership platform, iMIS, and preparing quarterly status reports on engagement activities
  • Assisting with creating and updating PowerPoint presentations and other informational materials
  • Performing special/ad hoc projects and requests as needed.

YOUR QUALIFICATIONS
  • A Bachelor’s degree is preferred and a minimum of 3 years of related experience, is preferred.
  • Experience using MS Office Suite platforms (Word, Excel, Outlook, and PowerPoint) is required.
  • Experience using a membership/CRM system such as iMIS.
  • Knowledge of online platforms such as Microsoft Teams and Zoom; ability to manage hybrid meetings is preferred.


LOCATION AND COMPENSATION
Primary Location (New York City) Salary Range: $65,000 - $80,000
This role will be hybrid and require in-office work.
