The Indianapolis Zoo's Volunteer Services Office is currently searching for a Coordinator of Volunteer Services to join our team. This position will provide administrative support with operational functions of the department including recruiting, onboarding, and training of new and current volunteers as well as building and maintaining relationships with volunteers to support retention.

The Indianapolis Zoo's Volunteer Services department's effectiveness is contingent upon maintaining effective partnerships with all the departments of the Zoo. This position will assist the Manager of Volunteer Services with planning, developing and supporting volunteers so that the organization will derive full benefit from community resources.

Ideal candidates are committed to the Zoo's mission to protect nature and inspire people to care for our world. The successful candidate will have one (1) year of related work experience in an administrative or clerical role in a professional work environment, with a focus in volunteer coordination, education, or human resources. High school degree or equivalent is required, an associate degree or bachelor's degree from an accredited institution is preferred. The successful candidate will be highly organized and detail-oriented with strong administrative skills. The ability and discretion to maintain confidentiality is vital to this role.

This is a paid, full-time, 40 hours per week, position with a typical schedule of Tuesday-Saturday or Sunday-Thursday. Weekend and evening hours will apply due to season demands. Overtime is required for large organization events such as Zoobilation and the Indianapolis Prize Gala.

Requirements and responsibilities of this position include, but are not limited to:

  • A minimum of one (1) year experience in an administrative or clerical role in a professional work environment, with a focus in volunteer coordination, education, or human resources.
  • Working knowledge of Better Impact or other volunteer management software highly desirable.
  • Handles self as a professional; possess ability to confidently speak in public.
  • Demonstrated commitment to volunteerism, which could include actual experience as a volunteer. Assists the Manager of Volunteer Services with recruiting, interviewing, selecting and placing volunteers to meet the organization's needs and mission.
  • Initiates and reviews screening checks for potential volunteer candidates to ensure that they meet the requirements to volunteer per Zoo policy.
  • Recruits volunteers for themed single and multi-day events including facility rentals, ZooBoo and Christmas at the Zoo.
  • Organizes and implements volunteer entry procedures. Processes incoming applications, arranges and conducts interviews, oversees selection and scheduling.
  • Assists the Manager of Volunteer Services with evaluating the need and placement of volunteers within the organization in conjunction with requesting departments.
  • Attends college and high school career/ intern fairs to promote Zoo opportunities and recruit candidates. May serve as a guest speaker at various recruitment events.
  • Assists the Manager of Volunteer Services with developing and presenting volunteer orientations and trainings (both in-person and virtual). This includes developing electronic and paper forms for volunteers to complete. This individual will also evaluate sessions to ensure consistent, high-quality service to the organization.
  • Trains new volunteers (or employees) on the Zoo's Wild U guest services program.
  • Enters data into the Volunteer database (Better Impact), and is proficient in all aspects of the database, including report features.
  • Has responsibility for writing and editing the Volunteer Newsletter and will partner closely with the Manager of Volunteer Services and Public Relations team, among other departments for content and approval.
  • Interacts and communicates with all volunteers, co-workers, management, vendors, and the public in a professional, courteous, and cooperative manner.
  • Checks in with volunteers consistently to build and establish relationships.
  • Must possess (or the ability to obtain within 30 days of starting) a valid State of Indiana driver's license and have a driving record that is insurable by the Zoo's insurance provider.
  • Ability to detect, assess, identify, and observe surroundings to make sound judgments, along with the ability to communicate verbally, comprehend and decipher information accurately, using a telephone and two-way radio.
