The Special Events Coordinator will oversee all aspects of event planning and execution, ensuring that each event meets our high standards of quality and client satisfaction.
Duties
- Assist in planning, coordinatating, and execution of special events from conception to completion, including corporate functions, weddings, and private parties.
- Answer question of the general public, vendors and media about the events, hotel accomdations and logistics of the events.
- Collaborate with clients to understand their vision and requirements for each event.
- Manage budgets for events, ensuring all expenses are tracked and kept within limits.
- Negotiate contracts with vendors, venues, and suppliers to secure the best services at competitive prices.
- Coordinate logistics such as catering, audiovisual needs, decor, and transportation.
- Lead on-site event management to ensure smooth operations during events.
- Communicate effectively with team members, clients, and vendors throughout the planning process.
- Conduct post-event evaluations to assess successes and areas for improvement.
Requirements
- Proven experience in events management or event planning within the restaurant or hotel sectors.
- Strong time management skills with the ability to prioritize tasks effectively.
- Excellent negotiation skills to secure favorable terms with vendors.
- Proficiency in budgeting and financial management related to event planning.
- Outstanding communication skills, both verbal and written.
- Ability to work flexible hours, including evenings and weekends as needed for events.
- A degree in hospitality management or a related field is preferred but not mandatory.
