We are looking for a Human Resources, Payroll & Accounting Specialist to join our growing team. This role is ideal for a detail-oriented professional who is passionate about HR, payroll accuracy, and financial compliance. The ideal candidate will be responsible for overseeing HR functions while also ensuring payroll and accounting processes run smoothly.
Responsibilities
Human Resources
- Facilitate and manage the new hire onboarding process, ensuring all required documentation is complete, including I-9 verifications and payroll setup.
- Partner with IT to ensure all technical requirements, including hardware and software access, are in place before the new hire’s first day.
- Lead new hire orientation sessions to introduce company culture, policies, procedures, and benefits.
- Continuously assess and improve the onboarding process to enhance efficiency and the employee experience.
- Oversee employee offboarding, including exit documentation, final pay processing, and system access revocation.
- Manage the HR inbox and serve as the primary point of contact for employee inquiries.
- Support and contribute to employee engagement initiatives, team-building activities, and recognition programs.
- Ensure compliance with company policies and procedures as outlined in the employee handbook.
- Partner with leadership to develop and implement new HR policies as needed.
Payroll & Benefits Administration
- Process payroll accurately and in compliance with all state and federal regulations.
- Track and document payroll adjustments and changes, including bonuses, deductions, and reimbursements.
- Review and approve hourly employee timesheets, ensuring compliance with labor laws and company policies.
- Process final paychecks in adherence to state regulations.
- Handle unemployment claims, state information requests, garnishments/liens, and year-end reporting.
- Administer employee benefits programs, including enrollments, terminations, and employee inquiries.
- Maintain accurate and confidential employee payroll records.
Accounting & Financial Reporting
- Oversee payroll accounting functions, ensuring proper classification of wages, taxes, and deductions.
- Prepare and process payroll tax filings, including quarterly and annual reports.
- Assist in maintaining accurate general ledger entries related to payroll and employee expenses.
- Monitor and reconcile payroll-related accounts.
- Coordinate with the accounting team to ensure financial accuracy and timely processing of payroll transactions.
- Assist in budgeting and forecasting related to payroll costs.
- Support audits related to payroll, benefits, and compliance.
Qualifications
- Bachelor’s degree in Human Resources, Accounting, Business Administration, or a related field.
- Minimum of three years of HR, payroll, and accounting experience.
- Strong understanding of payroll processes, labor laws, and tax regulations.
- Experience working with payroll software and HRIS systems.
- Excellent organizational and multitasking abilities.
- Strong interpersonal and communication skills, with the ability to engage effectively at all levels.
- Attention to detail and high level of accuracy in payroll processing and accounting functions.
- HR certification (SHRM, HRCI) and/or payroll certification (CPP, FPC) is a plus.
