In this pivotal moment for our company, we’re seeking a dedicated Administrative Operations Manager to support our team and transform complexity into seamless execution. This individual is highly organized, service-oriented, and thrives in a dynamic, fast-paced environment. As a key member of our team, you’ll play a vital role in ensuring smooth operations, balancing the opportunities to support our partners, and keeping our organizational systems running efficiently.

Responsibilities:

  • Manage and coordinate the administrative needs of our partners and VC firm interactions.
  • Prioritize and handle multiple tasks, from calendar management to logistics and operations support.
  • Oversee technology and facility-related concerns, ensuring everything from light switches to vendor relations runs smoothly.
  • Handle basic accounting duties and vendor coordination.
  • Process application forms and coordinate pitch meetings, including scheduling and follow-ups.
  • Manage inbound communications, send thoughtful outbound communications, and organize meeting setups.
  • Assist with community engagement efforts, arranging events, hospitality needs, and advisory meetings.
  • Process reimbursements, oversee bill payments, and prepare financial reports as directed by our financial partner.
  • Bring order to chaos, finding solutions, and keeping processes structured.

Qualifications & Skills:

  • Service-oriented, motivated achiever, responsible, adaptable, and skilled at organizing and prioritizing.
  • Demonstrates a high standard for service excellence and ensures the efficiency and effectiveness of office operations.
  • Proven experience in basic bookkeeping and accounting, ideally in a financial or startup environment.
  • Comfortable with event planning and operational tasks, driven by the aspiration to grow alongside our fund.
  • Exceptional multitasking, communication, and logistical coordination abilities.
  • A proactive mindset and a passion for creating efficient systems and supporting our company’s mission.
