What are the responsibilities and job description for the Mid-Level Accountant and HR Assistant position at Karst?
We are seeking a self-motivated and passionate Mid-Level Accountant and HR Assistant to make an impact in a dynamic small business. This position will take charge of critical accounting functions (90%) and assist with HR functions (10%). This role is essential to ensuring the financial health and operational efficiency of the company, handling day-to-day accounting tasks as well as some high-level financial planning. Additionally, the team member will assist with various human resources duties to streamline employee management and ensure compliance with HR policies.

- Accounts Payable (AP) & Accounts Receivable (AR): Manage incoming and outgoing payments, maintain vendor and client communications, and ensure timely invoicing and collections.
- Account Reconciliations: Perform regular reconciliations for bank, credit card, and general ledger accounts.
- Month-End Financial Close: Ensure accurate month-end close by reviewing and posting journal entries, completing reconciliations, and preparing financial reports.
- Payroll Processing: Manage payroll using Gusto, ensuring timely payments and accuracy. This includes processing reimbursements for monthly cell phone use and any other approved employee expenses.
- Sales Tax Compliance: Calculate, prepare, and remit multi-jurisdictional sales tax filings.
- Transaction Coding: Accurately code all financial transactions in QuickBooks to the appropriate accounts.
- Cash Flow Management: Monitor and manage cash flow, ensuring adequate liquidity for operational needs.
- Tax Preparation & Compliance: Assist in the preparation of tax filing documents for external tax team and maintain compliance with federal, state, and local tax regulations.
- Budget Planning & Management: Assist with the development and monitoring of annual budgets with monthly forecasting and modifications.
- Credit Applications: Prepare and submit credit applications for the business as needed.
- Debt Collection: Monitor outstanding receivables and follow up to ensure timely payment.
- External Communications: Work with outside consultants as needed.
- Employee File Maintenance: Maintain accurate and up-to-date employee records.
- New Hire Onboarding: Assist with onboarding processes, including setting up new hires in internal systems.
- Offboarding and Terminations: Assist with processing offboarding procedures for departing employees.
- Performance Review Process: Support the performance review process by tracking schedules and ensuring documentation is completed.
- Experience: You have 3-7 years of accounting experience in a mid-level role.
- Software Skills: You are proficient in QuickBooks, Gusto, Bill.com, Google Sheets, Gmail, and Slack (or equivalent). Training will be provided for our CRM software, Commonsku.
- Technical Expertise: You excel at navigating macOS, using keyboard shortcuts to boost productivity, typing quickly and accurately, managing files efficiently, and learning new software tools and platforms quickly.
- Multi-Jurisdictional Tax Knowledge: You’re familiar with sales tax and payroll tax regulations across multiple states.
