Reports to: Tribal Member Programs Supervisor

Employment Status: Full Time

FLSA Status: Non-Exempt

Schedule: 40 Hours/52 Weeks

Job Summary

The Event Coordinator duties and responsibilities center around planning and coordinating high-quality events of varying size and purposes, and performing acquisition activities for an array of goods and services for various departments within the Kenaitze Indian Tribe.

Essential Functions

  • Plan, implement, and manage all aspects of the event planning process, including but not limited to: Collaboration with internal and external stakeholders, venue identification, menu development, and budget management
  • Collaborate with departments within the Tribe as well as local community groups
  • Coordinate with the Human Resource Department to plan employee events
  • Coordinate with the Tribal Member Services Department to plan the Annual Membership Meeting, Quarterly Meetings, Opening of the Net and other Tribal events
  • Coordinate all other events collaboratively with stakeholders
  • Establish and maintain relationships with vendors and venues
  • Perform centralized purchasing activities as assigned
  • Advise programs on purchasing-related issues and provide training
  • Ensures compliance with Tribal, federal, state and local employment laws regulations, Tribal policies and TERO ordinance

Qualifications

Education

  • High school diploma or general education degree (GED) or a combination of education and experience in a related field may be substituted for a degree

Experience

  • Two (2) years of high profile event planning and coordination

Preferred

  • Knowledge and experience working with cultural diversities

License/Certification

  • Must have a valid Alaska State driver's license and must remain insurable under the Tribe's policy

Special Skills

  • Detail-oriented with consistent and meticulous attention to event goals
  • Logistics: Everything in an event, from the seating to the entertainment, must be set up in a practical and useful manner for the guests. To accomplish this, the Event Coordinator must possess a degree of skill in logistics to properly plan the details and anticipate potential problems that may arise
  • Inventory control
  • Excellent written and oral communication skills
  • Maintaining accurate logs and basic written records of work performed
  • Skilled in establishing and maintaining cooperative working relationships with others
  • Conducts business in a service-oriented manner that is attentive, pleasant, respectful and kind when dealing with un'ina, visitors, co-workers and others

This position is a Covered Position subject to all requirements of the Alaska Barrier Crimes Act (ABCA) and to the Indian Child Protection and Family Violence Prevention Act, (ICPA). ABCA and ICPA requirements apply and must be complied with at all times in order to remain in the position.
