POSITION DESCRIPTION
Management Assistant
I. OBJECTIVES
A. To know, understand, support, promote and contribute to the achievement of the Cooperative’s objectives as established by the plans, policies, and procedures of the Cooperative.
B. To provide prompt and courteous service to the members and the public, and to promote goodwill between the Cooperative and its Members.
C. To promote cooperation between all departments of the Cooperative and provide assistance as required.
D. Demonstrate accuracy, accountability and attention to detail in all aspects of this position at the Cooperative.
II. RESPONSIBILITIES
· Assist Procurement Manager in day-to-day operations and strategic planning.
· Assist with inventory review and documentation as directed.
· Review order and receiving documentation
· Review material changes on work orders
· Perform administrative tasks for Operations and Engineering as directed by immediate supervisor.
· Oversee and assist with Fire Retardant (FR) clothing program including PPE.
· Assist with all Rubber Good procedures and retain proper documentation
· Assist with Special Equipment inventory
· Complete and maintain PCB Compliance documentation.
· Comply with Federal Motor Carrier Association requirements and complete necessary documentation.
· Assist in planning and conducting training programs and other Cooperative activities for the benefit of KEC personnel.
· Assist in planning the annual meeting of the membership as well as working the event.
· Attend safety meetings and complete Safety U Training videos.
· Maintain confidentiality in all respects regarding sensitive and privileged information.
· Other duties as assigned.
· Cyber security is the responsibility of every employee. The highest priority should be given to protecting all cooperative computers, mobile devices, networks, software, and data collected, processed, and stored from unintended or unauthorized access, change, or destruction.
· Some travel for training, conferences or other duties will be necessary.
· Work after normal working hours when necessary and requested by management.
III. RELATIONSHIPS
A. Reports to: Manager of Procurement
Accept assignments from the Manager of Procurement
Directs: None
B. Member/Owners: Approaches each member and public contact with the intention of making a favorable impression that will present a friendly and professional image for the Cooperative.
IV. QUALIFICATIONS
A. Education & Training: High School diploma or equivalent required. College Degree in applicable field preferred.
B. Abilities & Skills: Must possess the following: Proficient in Microsoft Office Suite with the ability to follow directions and perform accurate detailed work assignments; Ability to multitask and possess strong communication, organizational and analytical problem-solving skills; Excellent written and verbal communication skills required; Must maintain high level of discretion and confidentiality.
V. CLASSIFICATIONS
A. This position is classified as an inside position and requires working at the KEC Headquarters in Wilburton Oklahoma.
B. This position is safety sensitive.
