We are seeking a detail-oriented and proactive Administrative Assistant to support our manufacturing team at Kyowa Kirin North America's new pharmaceutical manufacturing site in Sanford, NC.
This role will initially involve working in a greenfield environment and will transition to supporting the site once it becomes operational.
The ideal candidate will have strong organizational skills and the ability to manage multiple tasks efficiently. This position requires a proactive, organized, and flexible individual who can thrive in a fast-paced and evolving environment.
This role reports to the Director, HR Manufacturing.
Key Responsibilities will include but not be limited to :
- Administrative Support : Provide general administrative support to the Site Head and overall site manufacturing team. This includes submitting expense reports, scheduling meetings, managing calendars, preparing documents and presentations, handling correspondence and courier mailing, maintaining calendars, and photocopying, scanning, and filing documents.
- Travel Arrangements : Coordinate travel arrangements for Site Head and team members, including booking flights, accommodations, and transportation.
- Office and Coordination Support : Ensures availability of necessary office supplies and equipment to support daily operations.
Provide support in organizing and coordinating events such as hiring and onboarding processes, team meetings, workshops, employee engagement activities, and visitor logistics.
Project Assistance : Assist with special projects, as needed, to help foster a positive, productive, inclusive, and organized work environment.
Examples include sending key leadership communications and reminders to the site, maintaining SharePoint and other document repositories, and updating site policies / documents / forms, among others.
- Confidentiality and Safety Compliance : Ensure adherence to confidentiality in dealing with sensitive information, and adherence to safety protocols and procedures that will support a safe working environment for all team members.
- Greenfield Transition : Adapt to the initial greenfield site conditions and support the setup and transition to the operational manufacturing site.
Requirements :
- High school diploma or equivalent.
- Experience with greenfield and operational manufacturing settings.
- Excellent orchestration skills, resourcefulness, and interpersonal abilities. Previous experience in coordination, event planning, or administrative support preferred.
Manufacturing and Life Sciences experience are preferred.
- Proficient in MS Office Suite and other required software.
- Demonstrated ability to organize, prioritize, meet deadlines, make decisions, and change course of action quickly.
- Strong interpersonal and communication skills.
- Strong work ethic is required.
- Detail oriented and excellent follow through.
- Has the ability to flex and deal with ambiguity in a dynamic, fast-paced, high growth environment.
- Cultural sensitivity and ability to develop consensus within a multinational organization.
Physical Demands :
- Work in a normal office environment with prolonged sitting and extensive computer work. Willing to be onsite and co-located with the team five times a week during build phase and once the site is operational.
- Able to work in a construction site trailer.
- Availability and accessibility are crucial for this role.
- This role requires 0% to 5% domestic travel based on business need.
